REPORTS TO: MCVA Principal and or Director of Instructional Services

TERMS: This position is a 260 total paid days position offering full family medical, dental, and vision benefits. Dental, vision, and life insurance are paid by the district at no cost to the employee. Vacation, personal business days, holidays and sick time paid. Retirement through the Office of Retirement Services (Pension Plus or Defined Contribution).

SALARY RANGE: This position is on the Nonunion, Hourly Grade H Scale, $20.per hour.

GENERAL JOB FUNCTION:

This position will be responsible for providing outstanding customer service to students, families, local districts, visitors, and guests of the Muskegon County Virtual Academy (MCVA). The safe and orderly operation of MCVA is reliant on the Administrative Assistant being well informed about school events, policies, and personnel. The Administrative Assistant is responsible for performing a number of administrative duties supporting the Principal of MCVA, and must be highly self‑motivated, professional and capable of managing workload and prioritizing tasks.

The administrative assistant will also perform general office duties supporting other instructional services department staff and functions.

ESSENTIAL JOB FUNCTIONS:
  • Assumes responsibility for typical administrative assistant duties including phone and reception functions, word processing, data entry and spreadsheet creation, communications, mail distribution, and office machine operation.
  • Provides a range of direct assistance to instructional services staff.
  • Makes arrangements for meetings, workshops, professional development sessions, and staff travel.
  • Accepts responsibility for the coordination and facilitation of assigned special projects.
  • Generates purchase orders, invoices, meeting minutes, budget reviews, departmental reports and correspondence, and other assigned materials.
  • Accepts responsibility for maintaining necessary rules of confidentiality.
  • Uses a variety of electronic data gathering and reporting systems required by the State of Michigan and/or the MAISD.
  • Answers phone calls and email communications for MCVA, is well informed to answer general questions, and is able to efficiently direct calls to the appropriate personnel.
  • Enters data, schedules and log entries into the Student Information System (Power School) for a variety of purposes.
  • Completes necessary documentation and submissions for pupil accounting reports.
  • Prepares and processes orders for purchasing, invoices for billing, staff and facility contracts, memos, and budgets.
  • Prepares reports, extracts data, organizes data and formats data for a variety of purposes.
  • Performs a variety of clerical tasks to ensure the smooth operation of the instructional services department.
  • Perform other duties and responsibilities as may be assigned.
  • MINIMUM QUALIFICATIONS:
  • Possession of a high school diploma or its equivalent.
  • Possession of excellent communication and customer service skills.
  • Demonstrated proficiency with a variety of computer and data entry skills.
  • Possession of excellent organizational and interpersonal skills.
  • An ability to prioritize and address multiple tasks and responsibilities.
  • PREFERRED QUALIFICATIONS:
  • Ability to work both in a team setting and independently.
  • Strong customer service, interpersonal, and communication skills to interact effectively with students, parents, local district personnel, and MAISD staff.
  • Strong organizational skills and the ability to work independently as well as to work with a team in order to produce work with quality and accuracy delivered in a timely manner.
  • Experience reviewing and monitoring budgets.
  • Technology skills and experience including the use of Student Information Systems, Microsoft Office Suite, Google Suite, and other web-based applications.
