The Main Office Assistant serves as a primary source of administrative support for the school and is the first line of contact for parents, staff members, students, and visitors. As such, the main office assistant provides front desk administrative support to the District, coordinates with others to complete tasks as needed, and helps to respond to the needs and concerns of parents, staff members, students, and visitors.
EssentialFunctions
- Professionally answer telephones; provide school information to potential parents/parents, take accurate phone messages, transfer calls to appropriate staff in a timely manner.
- Professionally interact with school parents, students, staff, vendors, and customers while performing various tasks.
- Manage and maintain main office space.
- Welcome and direct visitors, and maintain accurate visitor log.
- Provide visitor badges to all school visitors.
- Meet scheduled deadlines and timelines.
- Locate student data using the MiStar student information system.
- Sort and distribute incoming mail and faxes to appropriate staff members in a timely manner.
- Create various forms of correspondence (i.e. memorandums, parent letters, flyers, etc.)
- Stamp all outgoing mail with the proper postage.
- Request assistance from maintenance and/or security for specific facility needs using radio or phone.
- Maintain school office equipment in proper working condition (i.e. copier, fax machine, walkie-talkie radio, phone, postage machine).
- Training, knowledge, experience, and certification(s) required.
- Experience with computers and proficiency with word processing software and spreadsheets.

- Excellent interpersonal communication skills.
- Ability to deal with high stress while maintaining professionalism.

- Experienced with proofreading documents including emails.
This job operates in a professional office environment. Daily attire is business professional. This role routinely uses standard office equipment such as computers, phones, and photocopiers/scanners.
Physical DemandsThe employee frequently is required to stand; walk; use hands to finger, handle, or feel; and reach with hands and arms. The employee will periodically lift up to 10 pounds.
Position Type/Expected Hours of WorkThis is a full-time position; days and hours of work are Monday through Friday, 7:30 am to 4:00 pm.
TravelThis position may require periodic travel to other schools within the district.
RequiredEducation and Experience
- Experience in a school setting preferred.
- High School Diploma Required.
- 3-5 years of administrative or equivalent experience.
