Accounts Payable Clerk – Finance Department Internal and External Recruitment

The City of Des Plaines is seeking an experienced and detail-oriented Accounts Payable Clerk to support the Finance Department with a focus on vendor payments, financial recordkeeping, and compliance. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with numbers, and is committed to delivering excellent service to both internal departments and external vendors.

About the Role:

As the Accounts Payable Clerk, you’ll be responsible for ensuring accurate and timely processing of vendor invoices and payments, maintaining financial records, and supporting audit and reporting functions. This position requires strong attention to detail, sound judgment, and effective communication skills.

Key Responsibilities:
  • Process and verify vendor invoices; issue payments via check and ACH
  • Maintain accurate vendor records, W-9s, and ensure 1099 compliance
  • Provide prompt, professional customer service to vendors and staff
  • Reconcile statements, credit card transactions, and utility expenses
  • Support month-end closing, annual audit prep, and reporting
  • Monitor purchase orders, contract renewals, and stale-dated checks
What You Bring:
  • Education & Experience: High school diploma or equivalent; minimum of 2 years of relevant accounts payable or financial experience
  • Skills: Strong attention to detail, organizational skills, and proficiency in Microsoft Office and accounting systems
  • Communication: Clear, professional interaction with vendors and internal teams
  • Professionalism: Dependable, confidential, and adaptable in a fast-paced setting
