Nonprofit Accounting and Payroll Manager
ROLE OVERVIEW
The Nonprofit Accounting & Payroll Manager supports the Provincial Treasurer in the day-to-day financial and payroll operations of the Province. This role is responsible for hands‑on administration of payroll, accounts payable, employee benefits, and core accounting functions, ensuring accuracy, compliance, and confidentiality in a mission‑driven nonprofit environment. This position is responsible for supporting the Provincial Treasurer with the hands‑on administration of:
- Bi-weekly payroll
- Maintenance of accounting and payroll software and systems, including interfaces
- Employee onboarding and separation
- Maintaining employee personnel files
- Bank account reconciliations
- General ledger account reconciliations
- Work with tax consultant in preparation and filing of annual tax returns for Sisters with earned income
- Other projects and tasks as assigned or required
- Process bi‑weekly payroll accurately and on time, including time and attendance entry, wage and deduction maintenance, and distribution of payroll payments/advice
- Administer employee benefits programs, including eligibility verification, enrollment maintenance, and funding of benefit plans
- Ensure compliance with federal, state, and local payroll tax requirements, including timely filings and payments
- Manage full accounts payable cycle, including:
- Collection of W-9 forms from vendors
- Review, coding, and processing of invoices
- Weekly preparation and distribution of vendor payments
- Maintain organized and accurate vendor records
- Perform bank account and general ledger reconciliations
- Maintain accounting and payroll systems, including software interfaces and data integrity
- Assist the Provincial Treasurer with the annual accounting review, including preparation of schedules and supporting documentation
- Assist with employment tax reporting and 1099‑MISC preparation
- Support preparation and filing of annual tax returns (Form 1040) for Sisters with earned income
- Ensure compliance with applicable nonprofit accounting and reporting requirements
- Coordinate employee onboarding and separation, including collection and maintenance of:
- I-9 forms
- Federal and state withholding elections
- Employment applications and related documentation
- Maintain accurate, confidential employee personnel files
REQUIRE
- Strong understanding and application of generally accepted accounting principles (GAAP)
- Demonstrated ability to maintain strict confidentiality
- Excellent organizational and time‑management skills
- Ability to set priorities, meet deadlines, and work independently
- Strong analytical and problem‑solving skills
- Clear and professional communication with diverse stakeholders
- Proficiency with accounting and payroll systems
