Description:

GENERAL

SUMMARY:

The purpose of this position is to provide administrative and general office support to the Student Affairs Department and the Dean of Student Affairs. Responsible for day-to-day office operations.

Executive & General Office Support
  • Administrative Assistance:
    Provide high-level support to the Office of Student Affairs. Monitor office email accounts and distribute information. SSC and Compliance email addresses.
  • Scheduling:
    Coordinate student meetings and appointments for departmental staff to ensure efficient meeting workflows.
  • Office Logistics & Communication:
    Oversee the procurement process and generate routine administrative reports.
  • Campus Communications Liaison:
    Responsible for SSC campus updates.
  • Testing Center:
    Provides test proctor and testing center backup.
Student Compliance & Record Management
  • Credential Tracking:
    Serve as the primary administrator for Castle Branch requirements; monitor and track compliance for all current students. Provide secondary support for Verified Credentials processes.
  • Student Support:
    Guide students through account setup and troubleshooting; provide direct assistance regarding clinical or program requirements.
  • Reporting:
    Create, update, and distribute weekly compliance records to relevant stakeholders.
  • Data Entry and Integrity:
    Maintain strict confidentiality of sensitive student information in alignment with institutional privacy standards.
Financial Coordination & Fund Management
  • Disbursements:
    Coordinate and process payments for office-managed accounts, including Catherine’s Cabinet and the Student Emergency Needs Fund. Facilitate the workflow for Restricted Funds Transfer Requests ensure timely follow-up.
Event Planning & Implementation
  • Logistics: programming support, including facility reservations, food service arrangements, setting up assistance.
Miscellaneous Duties
  • Perform other duties as assigned to support the mission of the Student Affairs office.
MINIMUM KNOWLEDGE,

SKILLS AND ABILITIES

REQUIRED
  • Associate degree or equivalent experience.
  • Three to five years’ experience in providing general office support.
  • Demonstrated experience providing support for multiple individuals.
  • Proficient experience in computers and word processing, spreadsheet and presentation software.
  • Demonstrated ability to prioritize, multi-task and attention to detail.
  • Demonstrated ability to use sound judgment and discretion.
  • Experience providing support in a higher education environment preferred.
