The Executive Assistant provides high-level administrative and operational support to members of the Senior Leadership Team (SLT). This role plays a critical part in enabling leadership effectiveness through coordination of schedules, communications, meetings, and strategic initiatives. The position supports key leadership functions, including preparation and execution of SLT meetings and quarterly and annual strategic planning sessions. Success in this role requires exceptional organization, strong communication skills, sound judgment, and the ability to operate with discretion and minimal supervision in a fast-paced, evolving environment.

Key Responsibilities Principal Functions of the Job Executive & Operational Support
  • Manage complex calendars, travel arrangements, meeting preparation, and administrative priorities for Senior Leadership Team members.
  • Anticipate leadership needs and provide proactive support, ensuring leaders are prepared and aligned for meetings, decisions, and engagements.
  • Coordinate projects, track deliverables, and support execution of priorities across SLT functional areas.
  • Serve as a liaison between senior leaders and internal and external stakeholders, maintaining strong professional relationships.
  • Prepare agendas, briefing materials, presentations, and reports tailored to specific audiences.
  • Support communication planning and coordination for leadership initiatives and organizational updates.
  • Partner with the Events Planning Manager to coordinate logistics, travel, and communications for key meetings and events.
  • Respond to requests from leadership, management, and staff in a professional and timely manner.
  • Maintain flexibility to provide occasional support outside normal business hours, particularly during executive travel.
SLT Meeting Support
  • Coordinate Senior Leadership Team meetings, including scheduling, agenda development, preparation of materials, and logistics.
  • Capture meeting minutes, track action items, and monitor follow-up to support execution and accountability.
  • Serve as a central point of coordination to help ensure leadership alignment and progress on key initiatives.
Strategic Planning Session Support
  • Lead logistical planning and coordination for quarterly and annual Strategic Planning Sessions.
  • Manage pre-session preparation, offsite arrangements, and on-site execution.
  • Support post-session communications, action tracking, and follow-up activities.
Onboarding Support
  • Develop and coordinate onboarding plans for Senior and Extended Leadership Team members and Executive Assistants.
  • Partner with internal departments, including People and IT teams, to deliver a structured onboarding experience.
  • Support new leaders during their first 4–6 weeks by helping them navigate organizational processes, culture, and priorities.

Other projects as assigned.

Knowledge And Experience
  • 3–5 years of experience in an Executive Assistant or related role supporting senior leaders
  • Proven ability to operate with autonomy, sound judgment, and discretion in high-trust environments
  • Exceptional organizational, prioritization, and problem-solving skills
  • Strong written and verbal communication skills with executive-level professionalism
