The Musco Global Team has an opening for an Administrative Coordinator at our Iowa Sports Turf office in Des Moines

This role will be responsible for providing comprehensive administrative and operational support to ensure efficient, effective business operations for Iowa Sports Turf. This role exercises independent judgment and discretion in coordinating office functions, supporting leadership, and managing processes that impact daily operations. The Administrative Coordinator provides direct, ongoing support to the President of Iowa Sports Turf and serves as a key point of contact across departments.
- Bachelor’s degree in Business, Communications, or Sales is preferred
- Two years of experience in an administrative support role or coordination role is preferred
- Self-directed within a team environment with the ability to manage multiple tasks at one time.
- Detailed, organized, and results driven with the ability to solve complex problems
- Ability to handle sensitive information with discretion
- Proficiency in Microsoft Office applications and interest in learning new software
- Excellent verbal, written, and telephone communication skills
- Provide high-quality service to customers and business partners by building and maintaining strong working relationships and acting as a liaison between Iowa Sports Turf and internal departments.
- Work independently with sales leaders and company stakeholders to provide administrative and operational support with minimal supervision. Take ownership of responsibilities, assess priorities, independently resolve issues, implement practical solutions, and ensure follow-through.
- Proactively plan, manage, and execute internal and external events, including sales meetings and customer and sales representative visits. Responsibilities include preparing agendas and materials, coordinating vendors and logistics, arranging transportation, facilitating communication, addressing issues as they arise, and ensuring successful execution from planning through follow-up.
- Coordinate and manage office and operational activities that support daily business functions, using judgment to balance competing priorities related to meetings, visits, and business needs.
- Coordinate with sales operations leaders to track, manage, and follow up on sales team requests and initiatives, ensuring timely completion and clear communication across teams.
- Create, maintain, and manage tradeshow resources, registrations, and related materials, coordinating timelines and requirements as needed.
- Coordinate customer billing and collections activities, vendor invoices, and credit card charges, working directly with accounting to resolve discrepancies, address issues, and ensure accurate processing.
- Prepare, maintain, and update PowerPoint presentations, spreadsheets, and reports for sales management, exercising discretion in organizing and presenting information.
- Maintain and support the Iowa Sports Turf Microsoft Teams channel and SharePoint page, and assist in developing resources, references, and documentation to support sales and construction teams.
- Plan and coordinate company events for the Iowa Sports Turf office, serving as the primary point of contact and organizer.
- Track and manage expiration dates for licenses and certifications related to the Iowa Sports Turf team and equipment, ensuring compliance and timely renewals.
- Perform other related duties as assigned.
