The Iowa Department of Health and Human Services (HHS), Division of Public Health, Bureau of Health Statistics is seeking a Vital Records Associate to join our team!
We are looking for a motivated, organized, and detail-focused individual to join our fast-paced Issuance team. The successful candidate will have a proven track record of meeting strict deadlines, exercising sound judgment, and demonstrating strong decision-making ability. Excellent customer service skills are essential.
This position is responsible for delivering customer service to individuals eligible to receive vital records in Iowa. The role involves answering customer calls, reviewing and processing application orders, and supporting fellow Administrative Support Assistant I team members.
Key Duties- Answer customer service calls to verify identification and accept certified copy orders
- Input accurate data entry into multiple vital records systems
- Review and enter/reject certified copy orders received by mail
- Review all completed applications; close orders in IVES or UPS orders in Vital Chek; prepare all applications for mailing, including printing receipts for orders and mailing cover letter sheets.
- Verify records processed and close orders in IVES or Vital Chek, and mail correct documents to customers
- Process summary of fee audit reportings
- Review certified copy orders in IVES received from county recorders offices. Print applications and log orders accordingly
- Verify entitlement for all vital record orders accepted for processing
- Operate a PC efficiently to use IVES and Vital Chek application systems
- Experience working with diverse populations in a team environment
- Ability to respond to a high volume of inquiries while prioritizing clerical work
- Self-motivated, quick learner with proficiency in vital records and entitlement requirements
- Strong attendance record and punctuality
- Demonstrated integrity, confidentiality, and strong work ethic
