The Senior Executive Administrative Assistant serves as a highly trusted partner responsible for seamlessly integrating and supporting both the professional and personal priorities of the President & COO and the Founder & CEO. This role exists to maximize the executives effectiveness, focus, and well‑being by anticipating needs, protecting time and energy, and ensuring flawless execution across all aspects of their day‑to‑day life.
Operating with exceptional judgment, discretion, and emotional intelligence, this individual manages complexity across business, personal, family, and external commitments—often navigating sensitive, high‑stakes situations with calm confidence. This is not a traditional administrative role; it is a senior, relationship‑based position built on trust, foresight, and operational excellence.
The Executive Administrative Assistant will report directly to the President & COO and will provide high‑level and detailed administrative support by assisting with efficient and effective management of a diverse range of activities. This challenging and rewarding position has a high degree of visibility and requires the ability to operate autonomously, exercise sound judgment, and adapt quickly in a fast‑paced, high‑expectations environment while always maintaining absolute confidentiality and professionalism.
Key Responsibilities- Serve as a primary thought and execution partner to the Founder & CEO and President & COO, enabling focus on the most strategic priorities.
- Anticipate needs, risks, and opportunities by understanding the Founder’s priorities, preferences, and decision patterns.
- Serve as a trusted gatekeeper to executive leadership, exercising exceptional judgment, discretion, and confidentiality while proactively identifying, assessing, and mitigating operational, reputational, and information‑security risks.
- Own and optimize a complex, high‑stakes calendar across internal leadership, boards, external partners, and personal commitments; design schedules that reflect strategic priorities, not just availability; proactively resolve conflicts, manage tradeoffs, and protect white space for deep work and recovery.
- Plan personal and professional domestic and international travel, including arranging private flights, hotels, car services, dining reservations, and other special requests; build detailed itineraries with a high level of personalization and develop contingency plans to accommodate last‑minute changes.
- Prepare and/or coordinate briefing materials, agendas, and background context for key meetings, boards, and external engagements; capture action items and decisions, and ensure disciplined follow‑up.
- Coordinate logistics for high‑profile meetings, events, and travel with precision and discretion.
- Handle highly sensitive, confidential information with absolute integrity and professionalism.
- Exercise sound judgment in representing the Founder & CEO and President & COO internally and externally; maintain composure and credibility under pressure, ambiguity, and time constraints.
- Serve as the primary point of contact for a range of administrative needs, including subscriptions, vehicle maintenance, household management, community events, and personal gifts.
- Field calls, respond to emails, and manage requests proactively while exercising discretion, confidentiality, and sound judgment.
- Support ad hoc strategic initiatives, research, and executive projects as needed.
- Partner closely with other executive support roles (e.g., Founders Office, President/COO, CAO) to ensure seamless execution.
- Continuously refine systems, processes, and workflows to improve efficiency and effectiveness.
- Additional duties as assigned; adhere to all company policies and procedures.
- 8+ years of experience supporting a Founder, CEO, President, COO, high‑net‑worth individual, or senior executive with both professional and personal scope.
