As a Medical Records Specialist, you will assist the HIM Director by performing duties to support the management of the Horizon Patient Folder (HPF)/McKesson Patient Folder (MPF) workflow queues, working applicable worklists within 3M 360 Encompass, resolving unbilled accounts, and processing physician suspensions. You will serve as the primary point of contact when the HIM Director and/or HIM Coordinator is unavailable.
- Retrieve discharged medical records from various departments and reconcile them to ensure all records are accounted for.
- Facilitate retrieval, printing, storage, archival, and retention of documents that cannot be scanned into HPF/MPF (e.g., fetal monitor strips).
- Assist with physician suspension process: evaluate suspensions, create recommended suspension list, send notice letters, make reminder calls.
- Prepare medical records and loose documents for scanning.
- Scan medical record documents.
- Index medical record documentation.
- Perform paper‑to‑PC screen quality control validation.
- Complete certification program and continuing education required by state law for birth certificate clerks.
- Interact with parents to collect birth information, provide guidance in completion of forms, and complete acknowledgment of paternity forms.
- Review patient medical records and other resources to obtain required birth information.
- High school diploma or GED preferred.
- Hospital or medical office experience preferred; previous experience handling patient health information, medical records imaging and/or medical records strongly preferred.
- May need to complete a state certification program for birth certificate processing (training and course fees provided).
