Job Summary: The Grants Administrator reports directly to the Executive Director. This position is in collaboration with other grant team members, and the Finance and Accounting Department. S/he is responsible for performing award processes from application to select closeout activities for Denver Research Institute (DRI). Responsibilities include, but are not limited to, being highly organized and managing an assigned portfolio of complex grants and contracts.
This position uses knowledge of grant and contract management rules and regulations, has technical expertise, and understands financial processes.
- Engage industry partners in the negotiation of CRADA agreements and other contracts, while collaborating with the Budget and Finance Manager in preparing budgets.
- Initiate, review, and submit the appropriate DRI-related agreements.
- Prepare and submit grant proposals.
- Lead the assigned federal and private foundation grant application process, working with the development of project budgets with the Finance and Budget Manager, grants justifications, bio sketches, and facility capability statements.
- Track incoming and outgoing contracts and forms.
- Use various communication channels to maintain communication with principal investigators, pharmaceutical representatives, and project staff on upcoming funding opportunities.
- Consistently maintain, organize, and communicate through dashboards that capture key grant proposal and award information.
- Verify all no-cost extensions and carry-over requests for federally and foundation funded awards to move forward through the financial system.
- Review PI project budgets and expenses as submitted by Budget and Finance Manager.
- Research and recommend solutions to problems related to allocation and expenditure.
- Track federal grants from inception to project closeout.
- Submit project close documents for all federal, private foundations, or industry-funded projects.
- Travel and represent DRI at external events as directed.
- Collaborate with the DRI Administrative staff and other DRI teammates in the maintenance of web-based project management tools to optimize team performance: (that can include Blackbaud Dashboard Designer, Adobe, Microsoft 365, , and other business intelligence tools).
- Bachelor's degree related field or Three (3) years of professional-level experience with grant/award contract and financial management.
- Experience with nonprofit grant accounting/financial issues and analysis.
- Knowledge of accounting and grant/project management software.
- A robust customer orientation.
- Highly organized.
- Experience in non-profit, federal, or academic research grants and contracts administration involving interactions with individuals at all levels.
- Experience with industry-sponsored clinical research contracts.
- Experience with pre and/or post-award administration in medical research environments, including NIH and DOD funding.
- Responds promptly to customer needs and requests, managing difficult or emotional customer situations with a focus on solving conflicts.
- Superior interpersonal skills: adept at handling diverse personalities, requests, and needs.
- Outstanding customer service, organizational and analytical skills
- Ability to identify issues and elevate to further discussion.
- Ability to work in a high-volume office with deadlines.
- Must be able to handle ambiguity, process, and participate in a collaborative environment.
- Strong written and verbal communication skills
- Organizational and time management skills. Ability to prioritize and use good judgment.
