Regional Program Finance Manager (RPFM)
This hybrid position is based in the Denver area.
Reporting directly to the Director of Program Finance and indirectly to the Regional Vice President, the RPFM supports regional offices in document administration, client invoicing, program closeouts, supplier onboarding, cash collections, and other finance‑related administrative functions.
Responsibilities Client Invoicing- Work with the Program Performance Team to invoice clients for all deposits in a timely manner, in accordance with contractual terms and master service agreements.
- Monitor incoming payments and follow up with clients to ensure timely collections and minimal disruptions to program cash flow.
- Process client refunds, ensuring all required documentation is complete and properly filed.
- Review the region’s weekly A/R aging report and proactively follow up on outstanding balances.
- Collaborate with PRA Event Producers and the Finance Department to complete the program close‑out process within 15 days after event operations.
- Ensure invoicing quality by reviewing client‑facing documents for grammatical, formatting, and financial errors.
- Reconcile revenue detail to confirm proper classification and GL account recording, and reconcile cost detail to ensure accurate accruals.
- Calculate and document any hotel, third‑party, or special program commissions or rebates due to partners.
- Verify the accuracy and proper recording of applicable sales tax charges.
- Prepare a comprehensive financial package for the accounting team, capturing all relevant financial and operational data.
- Work with local teams and clients to process any necessary changes, updates, or adjustments, including submitting revised PCOs when needed.
Own the setup and ongoing maintenance of regional supplier records, ensuring credit accounts and payment terms are accurately established. Maintain up‑to‑date W‑9s, banking details, and certificates of insurance with vendors while managing refund and commission amounts.
Miscellaneous- Work with the Regional Vice President on ad‑hoc financial reporting or project needs.
- Ensure program folders are up‑to‑date with all required documents.
- Oversee petty cash or cash advance reporting of regional offices.
- Assist with regional time‑tracking reports, data maintenance, and team communication.
- Support enhancements of PRA software, including Salesforce and Event Cost Sheet, when required.
- Preferred experience in Destination Management, event production, or hospitality.
- Bachelor’s or Associate’s Degree in Accounting, Business Administration, or Finance is a plus.
- Intermediate to high proficiency in MS Office and Excel;
Salesforce and/or Net Suite experience is beneficial. - Basic understanding of Accounting and Business principles.
- Ability to work independently and collaboratively within teams.
- Ready to cross‑train with PRA Finance members and other RPFMs as needed.
