Job Title: Escrow Assistant/Processor
Job Type: Full time
Summary: The Escrow Assistant provides support to the escrow department by assisting with customer service and administrative duties relating to escrow closings.
Primary Duties and Responsibilities- Conduct daily deposit reconciliation of escrow/trust accounts
- Enter and review wire entries
- Download and distribute reports to the various departments
- Assist the escrow team with voiding checks, stop payments, confirming wire details, troubleshooting wires, receipting‑in checks, etc.
- Verify Cashier’s Checks / Official Checks
- Prepare courier labels and manage the Earnest Money drop‑off process
- Organize, file and scan documents, as needed
- Assist the Accounting Team and Accounting Manager, as requested
- Cross‑train on all team member duties
- Assist with vacation coverage for the team
- Team player. May need to assist other Escrow Assistants to maintain an even workflow including our Client Relations Assistants
- Communicate with Supervisor and co‑workers on workload
- Constant communication with assigned Escrow Officer
- Ability to multitask
- Ability to work independently and with the team
- Attention to detail and organizational skills are required
- Identify areas for improvement
- Other duties as assigned by the Supervisor and/or Closing Manager
- Must keep closing information confidential
- Over time may be required, if requested and pre‑approved by manager when work volume is high
- Escrow Assistant or work in the Title preferred
- High School or equivalent work experience required
- Able to follow all company procedures and policies including meeting the company customer service expectations
- Refinance closings, knowledge of Hud Settlements and/or TRID disclosure a plus
- Funding refinance and/or resale transactions a plus
- Soft Pro system experience is a plus
- Knowledge of title insurance, regulatory guidelines, legal documents, TRID, and real property law a plus
- Excellent verbal and written communication skills
- Good analytical and documentation skills
- Good customer service skills along with excellent problem solving ability
- Ability to productively interact with peers, customers and management
- Proficient with internet navigation
- Professional telephone etiquette
- Attention to detail, professionalism, organized and ability to prioritize
