Maintain the operation of the AEL office located at the Mt. Pleasant Center with a high level of accuracy and data integrity. Duties include, but are not limited to:
Maintaining program records, which includes preparing reports, preserving student records, filing, course preparation, and creating/modifying documents; proctoring High School Equivalency Diploma (HSED) tests; requisitioning materials and supplies; correspondence; and other duties as assigned.

This is a full-time position with a starting hourly wage of $15.30. Hours are Monday – Friday 8 AM – 4:30 PM with a 30 minute meal break. Benefits include medical, dental and vision insurance, $50,000 life insurance, long-term disability, paid sick leave, paid vacation, paid holiday and spring breaks and participation in IPERS or TIAA retirement plan.

Terms of employment are per bargaining agreement between SCC Board of Trustees and the SCCESA, employment contract and relevant policies and guidelines of the Board of Trustees. Upholds college policies and procedures and supports and participates in college-wide initiatives. Actively promotes a positive image for the college district. Supports SCC’s mission, vision, values and goals.

Responsibilities
  • Commitment to the comprehensive community college philosophy and mission.
  • Follow SCC and AEL policies and procedures.
  • Prepare reports, correspondence, and other documents, including composing initial drafts, revising, and publishing final versions.
  • Manage the accuracy of AEL data from the community- and corrections-based programs, including auditing the AEL records and providing documentation to entities auditing SCC records.
  • Data entry related to enrolling and exiting students in appropriate classes, and recording attendance, grades, and credentials earned.
  • Administer and proctor tests, including exams for credit classes and standardized assessments that require certification and/or state approval, including but not limited to, SCC placement exams, and state-approved assessments for AEL enrollment and high school equivalency diploma (HSED).
  • Assist Director of AEL with writing grants for AEL funding.
  • Prepare employment contracts for part-time hourly instructional staff. Prepare payroll and submit to Business Office bi-monthly.
  • Coordinate with supervisor and designees in preparing monthly, quarterly, and annual reports.
  • Maintain digital and physical student records (e.g., contact hours, HSED scores, exit dates) as required by SCC and State/Federal agencies.
  • Prepare purchase orders and supply requisitions, and maintain related records, including verification of receipt through close cooperation with the Business Office and Bookstore Manager.
  • Maintain a log of HSED tests taken by SCC’s AEL students and reconcile this log with invoices and submit payment requests for tests taken in correctional facilities.
  • Assist the Director of AEL and HSED Chief Examiner in planning, preparing, and organizing HSED graduation ceremonies.
  • Be flexible and adjust to change as needed.
  • Perform responsibilities with a high level of personal and professional integrity.
  • Attend trainings and meetings required by SCC, IWD, and/or other organizations with oversight of the AEL Program and/or that provide professional development for AEL staff members.
  • Secretarial, clerical, and receptionist duties as assigned, including answering the telephone and greeting visitors.
  • Remain current on office communications systems and procedures.
  • Other duties as assigned.
Required Qualifications
  • Education: High school diploma or its equivalent, required.
  • Education: Must qualify for state approval as a HSED test administrator.
  • Experience: Minimum two years related experience in office administration, required.
  • Experience: Experience preparing statistical reports, scheduling appointments, and working with confidential information, required.
