The ideal Executive Assistant is a collaborative, highly organized professional who takes pride in providing strong administrative support. This role is heavily focused on day-to-day administrative coordination while supporting the President & CEO with high-level organizational and operational needs. The right candidate thrives in a fast-paced environment, demonstrates exceptional attention to detail, and proactively manages competing priorities. They anticipate needs, communicate clearly, and follow through on tasks to completion.
While the position supports the President & CEO, it is rooted in hands‑on administrative work including scheduling, documentation, coordination, and communication.
- Provide high‑level administrative support to the President & CEO, managing complex calendars and meetings while overseeing front desk operations and handling incoming mail and communications.
- Serve as the primary liaison on behalf of the President & CEO with internal teams, clients, and external partners.
- Prepare, edit, and proofread presentations, reports, correspondence, and other business documentation.
- Create, organize, and maintain confidential data, reports, and materials, including developing and managing detailed spreadsheets.
- Build and maintain strong working relationships across all levels of the organization.
- Support leadership with special projects, research, and strategic initiatives.
- Anticipate challenges, proactively communicate updates, and ensure deadlines and priorities remain on track.
- Act as the primary point of contact for the Board of Directors; prepare and distribute meeting agendas, materials, and presentations; document meeting notes; track action items; and manage follow‑ups to ensure timely completion.
- Own and manage the company’s leadership meeting cadence, including executive meetings, strategic planning sessions, and company‑wide leadership events, coordinate logistics, agendas, materials, and post‑meeting communication.
- Screen and manage calls, emails, and inquiries with professionalism, discretion, and loyalty to the executive role, representing the President & CEO as a trusted extension by exercising sound judgment, maintaining confidentiality, prioritizing communications, and escalating high‑impact or time‑sensitive matters.
- Always protect confidential executive and company information, acting with integrity, discretion, and loyalty to the role.
- Perform additional administrative and project‑based tasks as assigned.
Required:
- 2+ years of experience providing executive‑level administrative support.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Demonstrated ability to handle confidential and sensitive information with professionalism and discretion.
- Exceptional organizational, time‑management, and prioritization skills in fast‑paced environments.
- Self‑motivated with the ability to take initiative, demonstrate accountability, and hold others accountable to deadlines and commitments.
- Experience supporting marketing initiatives, including coordinating campaigns, assisting with content creation, managing social media or website updates, and preparing marketing materials.
- Experience in construction a plus.
The Executive Assistant reports to the President & CEO.
Physical Demands- Ability to sit, stand, walk, and bend for prolonged periods.
- Use hands and fingers to type, grip, write, maneuver, feel objects, tools, or controls.
- Ability to lift, carry, push, and pull up to 50 pounds.
