Fleet Maintenance Administrator

Up to $55,000/year

Essential Functions of Fleet Maintenance Admin
  • Processes all invoicing daily.
  • Invoice match all paid invoices with the purchases by account interface detail.
  • File all invoicing neatly by week.
  • Point of contact for all vendors and customer to check payment statuses of garage invoicing.
  • Verify vendor statements in the maintenance program and Vendor books to provide payment status.
  • Assist in new vendor setups in the maintenance program.
  • File fuel binder documents, Environmental Documents, and needed Tmaps Binder items.
  • Build timecards weekly, submit HR forms for any garage personnel needed, and send FMLA calendars for garage personnel.
  • Prepare licensing documents required by the state when registering new tractors.
  • File employee documents.
  • File PM work orders and equipment file documents, record tire airing completed by the garage.
  • Send out weekly fuel files to third‑party carriers.
  • Learn the fuel reporting process, and train as an alternate on fuel processing to fill in as a backup.
  • Build fuel cards when requested by all transportation groups.
  • Post company HR/ Safety postings for all employees.
  • Submit tool, boot, and safety eyewear documents for garage employees.
  • Additional assigned admin duties as assigned by the manager.

Must have previous experience in a truck maintenance shop Required!

Schedule

Monday Thru Friday! 7 AM to 330 PM Weekends OFF!!

FLEET MAINTENANCE ADMINISTRATOR QUALIFICATIONS
  • High School diploma/GED.
  • At least 3 year's experience in a fast‑paced office environment.
  • Demonstrated attention to detail.
  • Past experience in transportation industry Required
  • Intermediate to advanced proficiency with payroll processing platforms.
  • Intermediate use of MS Office Suite required.
  • Proven ability to work with confidential data.
  • Ability to work independently.
  • Ability to work under pressure.
  • Regular attendance is an expectation of performance to ensure proper support of Transportation team.
