The Administrative Support Specialist plays a key role in supporting daily operations within the Home Care Agency. This position ensures smooth communication between clients, caregivers, and management while maintaining accurate documentation, assisting with scheduling needs, and supporting compliance requirements. The ideal candidate is organized, detail‑oriented, and comfortable working in a fast‑paced, client‑focused environment.
Key Responsibilities- Front‑line administrative support — Answer phone calls, respond to emails, and assist clients, caregivers, and visitors with professionalism and warmth.
- Caregiver support — Assist with onboarding tasks, training reminders, timesheet questions, and general caregiver communication.
- Scheduling assistance — Support the scheduling team with shift confirmations, updates, and follow‑ups as needed.
- Documentation & compliance — Maintain accurate records, upload documents, track expirations, and support compliance tasks such as in‑service reminders, supervisor visit coordination, and EVV follow‑ups.
- Client service coordination — Assist with client updates, service notes, and communication related to care plans, supervisor visits, and provider requests.
- Data entry & recordkeeping — Enter and update information in agency systems, ensuring accuracy and confidentiality.
- Office operations — Support daily office tasks such as filing, scanning, preparing forms, and organizing materials.
- Team collaboration — Work closely with the Administrator, Manager, RN, and Scheduling team to ensure smooth operations and timely follow‑through.
- Strong organizational and multitasking abilities.
- Excellent communication skills, both written and verbal.
- Comfort working with caregivers, clients, and healthcare professionals.
- Proficiency with computers, scheduling platforms, and electronic documentation.
- Ability to maintain confidentiality and handle sensitive information.
- Positive, professional attitude with a customer‑service mindset.
- Experience in home care, healthcare, or administrative support preferred but not required.
