The TANF Liaison, Administrative Assistant will provide office services by implementing administrative systems, procedures, and policies. Additionally, they will monitor administrative projects and activities for management at the Career Development Center.

QUALIFICATIONS:

Minimum Qualifications:

High School diploma or equivalent. Two years of clerical, computer, and customer service experience. At least two years of high-level Program Participant Liaison responsibilities. The incumbent will be required to present in a professional manner. A background check and valid Colorado driver’s license is required.

  • Must have excellent written, digital, and verbal communication skills.
  • Must be able to communicate respectfully, effectively both one-on-one and able to create materials to be understood by and appeal to a wide audience.
  • Must have the ability to work independently, cooperatively and exercise effective planning while remaining flexible and deal with the pressure of deadlines effectively.
  • Organizational skills required.
  • Experience maintaining positive relationships with key internal stakeholders and identifying key success criteria in conjunction with leadership and stakeholders, implementation of initiatives and maintaining tracking of statistical information to demonstrate success of program.
  • Demonstrated success in the provision of customer delight through active listening, expectation setting and timely, consistent follow up.
  • Must have demonstrated experience with successfully maintaining confidentiality.
  • The incumbent must have current experience working 1 on 1 with persons faced with disadvantages such as: TANF, Food Assistance, Medicaid, Medicare, Disabilities (diagnosed and undiagnosed), justice involved, Mental Health homelessness, and food insecurity.
  • The Liaison must be able to organize and follow through with duties demonstrating the capability of handling several different and ongoing projects at a high level.
  • The Liaison must possess excellent skills in the following areas: reporting, writing, verbal communication, Microsoft Office, managing processes, organization, and analyzing information.
  • The incumbent must be able to cope with the pressure of deadlines and be flexible in regard to job tasks and duties, able to and willing to cross-train to be able to fill in other CDC Departments. The incumbent must be neat, courteous, and personable.
  • The Liaison must maintain a positive attitude and interact appropriately with others including community agencies, other employees, and clients of varying functioning levels.
  • The incumbent must have extensive software skills as well as Internet research abilities and be able to type 50 wpm accurately.
  • Position requires sitting for extended periods and using a computer keyboard for a minimum of four hours each day. Must be physically able to carry weight and stand/stoop when filing.
  • The incumbent must be a self-starter, demonstrating the ability to stay focused and disciplined while being flexible to the demands of the job.
  • The incumbent will be expected to maintain confidentiality regarding agency and client records and information.
  • A valid Colorado driver’s license without a history of violations is also required. Overtime and/or weekend hours may be required when necessary as well as some travel to attend meetings and required training.
  • KEY RESPONSIBILITY AREAS:

    Relationship Management:

    The TANF Liaison will communicate routinely and consistently with all co-workers, staff, and customers in a proactive and positive manner. The incumbent will work with all CDC programs and staff. The incumbent will use good customer service skills and approaches with all clients. In addition, the incumbent will deal effectively and calmly with non-routine situations following accepted guidelines.

    Administrative Support:

    The incumbent will prepare meeting agendas in advance and arrange meeting facilities. The TANF Liaison will be responsible to assist the CDC team in any assigned clerical work to include, but not limited to:
    Taking meeting notes, contacting internal support to assist with IT and other issues, managing Microsoft Outlook Calendars, ordering and tracking supplies, answering phones, performing a variety of responsible office support work such as composing confidential correspondence and resolutions; preparation of spreadsheets and reports, scheduling meetings, welcoming visitors and new hires, maintaining office efficiency regarding all office equipment. The TANF Liaison will function as the TANF Coordinator for the Management team of CDC, primarily focusing on assisting the Operations manager.

    The TANF Liaison will be responsible for office upkeep including but not limited to checking the mail, ensuring the office and kitchen have all needed supplies, and communicating with property maintenance as needed.
