Job Description Summary

We seek an experienced Administrative Assistant who will provide confidential correspondence, reports, meeting notices, presentation materials, and other documents in appropriate formats. The role requires liaison duties with senior managers, client interaction, calendar and travel management, and complex inquiry resolution.

Responsibilities
  • Prepare confidential correspondence, periodical reports, meeting notices, presentation materials, and other documents in appropriate formats using word processing, spreadsheets, graphics, and desktop publishing software.
  • Compile information and prepare special or one‑time reports, summaries, or replies to inquiries selecting relevant information from a variety of sources.
  • Act as liaison between senior managers, employees, clients, and outside parties.
  • Screen telephone calls, providing assistance and accurate information for routing non‑routine calls.
  • Maintain calendars, schedule meetings, and make travel arrangements.
  • Determine methods and procedures to resolve complex inquiries and make on‑the‑spot priority decisions.
  • Generate and maintain confidential files and handle details of a confidential nature.
  • Operate with latitude for independent judgment and discretion.
  • Coordinate appropriately with other Administrative Assistant personnel.
Qualifications
  • High school education or equivalent.
  • Minimum of 3–5 years of high‑level administrative experience, discretion, and technical skills.
Preferred Qualifications
  • Associate’s degree preferred.
  • Demonstrated ability to establish priorities and meet tight deadlines.
  • Advanced knowledge of company and organizational structure with respect to the division and departments.
  • Team player with excellent verbal and written communication skills.
  • High level of analytical skills.
Compensation

The hourly wage for this position generally ranges between $30.77 and $32.69 per hour, with potential variation based on qualifications and operational needs. The position is typically eligible for an annual bonus based on the Company Bonus Plan/Individual Performance, at the Company’s discretion.
