Administrative Specialist II - Hiring Salary Range: $48,618.34 - $54,020.38 Administrative Specialist III - Hiring Salary Range: $56,805 - $63,117.12
Under direct to general supervision, performs a variety of administrative, clerical, customer service, and technical support duties for the Police Department. The Administrative Specialist II/III provides responsive and professional service to internal and external customers, maintains department records and files, assists in fiscal processes, and supports daily operations. Employees at the II level perform foundational administrative duties while learning departmental systems, policies, and procedures.
They may assist in specialized administrative processes.
- Administrative Specialist II
- Shares responsibility with administrative support staff for answering incoming calls and assisting internal and external customers; provides backup coverage and cross‑training support for mail distribution and related office functions
- Delivers high‑quality customer service by explaining department policies and procedures, directing inquiries to appropriate personnel, and obtaining detailed feedback to ensure clear communication and accurate information exchange
- Composes, edits, and compiles a variety of correspondence, reports, and forms; maintains department databases and filing systems to ensure data accuracy, integrity, and accessibility
- Assists with the procurement of department materials and supplies, including researching vendors, maintaining inventory levels, and exercising sound judgment to ensure cost‑effective purchasing decisions
- Prepares, processes, and tracks fiscal records and accounts payable transactions in accordance with City policies and established deadlines
- Coordinates scheduling and use of conference rooms, including meeting setup and meal arrangements as needed
- Supports department initiatives and projects as assigned, demonstrating adaptability to changing priorities and deadlines
- Performs other duties as assigned
- Employees at the Administrative Specialist III level will also:
- Perform all duties of an Administrative Specialist II and maintain a high level of professionalism and teamwork in the absence of direct supervision
- Provides advanced administrative and technical support to the Deputy Chiefs and other assigned staff
- Research develops, analyzes, compiles, organizes, and maintains a variety of files, records, and reports in accordance with the City’s file retention schedule and applicable police task force policies
- Adheres to the City’s file and records retention policies and schedules
- Follows the City’s accounts payable processes; prepares, tracks, reconciles, and/ or approves fiscal records and payments within established deadlines
- Schedules and coordinates meetings, rooms, and meal arrangements; manages conference room calendars; and assists in maintaining organized and professional work areas
- Prepares, distributes, and records agendas, packets, and minutes for assigned meetings
- Responds to public inquiries and complaints courteously and professionally, providing accurate information regarding City and department services or referring to appropriate personnel
- Composes, compiles, and edits correspondence, reports, forms, and presentations; maintains and retrieves database information; and ensures accuracy and data integrity
- Assists with unexpected or urgent projects, demonstrating flexibility and initiative
- Processes confidential documentation such as personnel records, search warrants, and administrative investigations
- Provides cross‑training and support to administrative staff and acts as backup for other administrative roles as needed
- Demonstrates reliability, initiative and adaptability to changing departmental priorities
High school diploma or equivalent required. Two (2) years of progressively responsible administrative, clerical or customer service experience.
Possession of, or ability to obtain a valid Colorado driver’s license. Ability to obtain and maintain CJIS (Criminal Justice Information Services) clearance as required by the Police Department.
