We have an immediate need for an Administrative Assistant to join our Denver office. This position provides administrative support to the Chief Culture & Communications Officer (CCCO), the Senior Director of Business Development (SDBD) and other senior members of the Marketing Department. From time to time, this position will also provide administrative support for various marketing and business development initiatives.
Essential Duties and Responsibilities:- Calendar management for the CCCO, SDBD and other senior members of the Marketing Department, including coordinating and scheduling meetings and appointments with multiple parties. Confirm and notify the team members of all upcoming teleconferences, appointments, and meetings and arrange for and provide the required documents, travel confirmations, directions and other applicable information.
- Perform clerical duties such as making travel arrangements, booking offices, completing expense reports and check requests.
- Plan meetings for assigned team members, including scheduling conference rooms or venue, arranging catering, set up and cleanup of room or venue, and arranging for any AV equipment needed.
- Assist with planning monthly Marketing Department meetings; reach out to senior team members for agenda items; maintain calendar invite and manage conference room and video conference details.
- Assist the Events Manager with the administration of the firm’s sports/entertainment tickets program; assist with client event execution tasks as needed, including creating/printing nametags, registration of guests and reconciling event attendance in the firm’s CRM system.
- In a professional and business-like manner, interact with other administrative departments, attorneys, policy professionals, vendors, clients, consultants, public figures, and others, both by telephone and face-to-face, to serve as the Marketing Department’s representative by transmitting and receiving information accurately to provide timely responses.
- Perform a variety of word processing functions following written or oral instructions, primarily using Word, Excel and PowerPoint, to draft, revise, and finalize documents such as correspondence, pitch materials and other marketing collateral. Responsibility includes appropriate formatting of spacing, margins, font size, style, color, and other parameters, as well as proofreading for grammatical, typographical, formatting or spelling errors and running redlines or comparison documents.

Preferred Qualifications:
- At a minimum, an associate's degree (A.
A.) or equivalent from two-year college or technical school - Five years related experience and/or training; or equivalent combination of education and experience
- Proficiency with Word, Excel, PowerPoint and Outlook
- Attention to detail and proofreading skills
- Strong interpersonal skills
- Prior experience in marketing a plus, but not required
