Overview

Downtown Denver law firm is seeking a highly organized and detail-oriented assistant to the Legal Administrator to join their growing team. This person will play a key role in managing administrative tasks and providing essential support to the Legal Administrator and other staff.

Key Responsibilities

Accounts Payable (A/P):

  • Assist with the accurate processing of vendor invoices for payment.
  • Enter client expenses into TABs billing software accurately and efficiently.
  • Collect and maintain vendor invoices, converting same to electronic format.
  • Process checks for disbursement.
  • Provide general A/P support to further the efficient functioning of the firm.

Accounts Receivable (A/R):

  • Assist with the accurate processing of client payments.
  • Assist with the deposit of all checks into the appropriate bank account.
  • Assist with the accurate income allocation for each payment.
  • Provide general A/R support to support the efficient functioning of the firm.
  • Support monthly billing process by editing and emailing client statements.
  • Fee entry into TABs billing software.
  • Enter accurate and timely data relating to expenses and invoices.
  • Collect/organize/maintain billing records, converting to electronic when paid.
  • Provide general billing support to further the efficient functioning of the firm.

Office:

  • Assist with office and technical support as needed.
  • Management of off-site files.
  • Prepare rooms for meetings when requested.
  • Water the office plants weekly.
  • Mail collection and distribution per firm procedures.
  • Order, maintain, and stock kitchen and office supplies.
  • Organize catering as needed.
  • Support and maintain firm resources, as requested.
  • Convert paper documents to electronic while safekeeping originals.
  • Provide admin support to further the efficient functioning of the firm.
Qualifications/Competencies
  • At least 1-2 years of administrative assistant experience in a law firm setting.
  • Experience with general accounting, law firm billing systems, and general law firm business operations.
  • High school diploma or equivalent required.
  • Proficiency in Microsoft Office, especially Word and Excel.
  • Ability to maintain confidentiality.
  • Attention to detail is a must.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • Ability to work both independently and in a team setting once trained in job tasks.
  • Ability to lift and move up to 10 pounds consistently and 25 pounds occasionally.
  • Ability to work up to 40 hours/week in a hybrid work environment.
Compensation and Benefits

Offering a pay rate of $28.85/hr - $38.47/hr based on experience as well as a full benefits package including:

  • Health, dental, vision and disability insurance for full-time employees.
  • $2,000/year firm-paid contributions to employee HSA accounts for full-time employees.
  • Paid time off, paid sick leave., and 11 paid holidays.
