Credential Intake Assistant
As a Credential Intake Assistant, you will help future students start their WGU journey on the right foot by ensuring their academic credentials and transcripts are requested, received, and recorded accurately. You will support the integrity of our academic records, apply university policies and regulations, and contribute to a smooth and timely evaluation experience for every prospective and continuing student you serve.
Whatyou’ll do
- Process and evaluate transcript and credential requests for prospective and continuing students, ensuring each request is handled accurately and in a timely manner.
- Act as an individual contributor supporting a variety of routine and standardized responsibilities within the Credential Evaluation team.
- Maintain assigned aspects of the academic record by receiving and organizing student documentation under consideration for review, and accurately recording results in the appropriate systems.
- Maintain all pertinent records in compliance with federal and state laws, as well as university regulations and policies.
- Apply policies and procedures consistently so that requests are accurate, fair, helpful, and quick, working efficiently and reporting work time accurately to be good stewards of students’ tuition dollars.
- Collaborate with a team lead and supervisor/manager as needed to resolve questions, share information, and support team and department objectives.
- Perform other related duties as assigned in support of students and the Academic Records & Credentials function.
- High school diploma or equivalent.
- Demonstrated ability to analyze information, assess documentation, and come to appropriate, policy‑aligned conclusions.
- Strong attention to detail and accuracy, with the ability to maintain complete and compliant records while meeting quality assurance standards for accuracy and customer service.
- Ability to manage multiple tasks, prioritize workload effectively, and thrive in a challenging, fast‑paced environment with deadlines and defined work expectations.
- Proficiency in Microsoft Office and similar software applications, along with the ability to effectively use robust web‑based and networked applications to maintain and analyze information critical to daily work.
- Understanding of how to apply FERPA regulations and other relevant policies to business processes related to student records.
- Professional written and verbal communication skills, with receptiveness to feedback and coaching and the ability to work both independently and as part of a collaborative team.
- One or more years of related experience supporting records, credentials, or similar administrative processes.
