This position is open only to Colorado state residents. You are required to work at your assigned work location during your scheduled work times.
Job SummaryThe Medical Services Administrative and Program Support role supports the Medical Services Section of CMHHIFL by providing essential administrative, clerical, data, and procurement assistance. This position supports daily operations, coordination of services, and compliance with hospital policies and procedures, and provides cross‑coverage for the Outside Medical Program.
Responsibilities- Provide administrative and clerical support: data entry, recordkeeping, invoice processing, scheduling, and document preparation.
- Serve as the Medical Clinic representative at the front desk: present a professional appearance, handle calls and messages, greet and direct guests, and ensure clean and professional appearance of the area.
- Assist as unit timekeeper and support survey and accreditation preparation.
- Utilize hospital systems (e.g., EHR, Kronos, CORE, eClearance) to retrieve and report information, generate audit reports, and manage financial data.
- Assist with procurement, inventory, and financial tracking: generate purchase orders and contracts, track vendor status, manage purchase card, and prepare budget trend reports.
- Support cross‑coverage of the Outside Medical Program, providing liaison functions among internal departments and external entities to ensure coordination and compliance.
- Perform additional duties as assigned by the Medical Services Director or Office Manager.
- Four years of experience in an occupational field related to the work assigned to the position, OR A combination of related education (Business Administration, Healthcare Administration, etc.) and relevant experience equal to four years.
- Full background check completed.
- Must be at least 21 years of age or older.
- Influenza vaccination required; comply with additional required vaccinations.
- Previous state employee.
- Proficiency with Microsoft Office Suite and Google Workspace.
- Experience with data entry systems (e.g., EHR, Kronos).
- Knowledge of procurement, inventory and financial tracking.
- Strong organization, time management, and customer service skills.
- Professionalism in greeting customers, answering phones, and handling routine inquiries.
- Clear verbal and written communication adjusted for different audiences.
- Ability to work with confidential information appropriately.
- Ability to work independently and as part of a team.
- Experience with medical front‑office management, provider scheduling, fiscal & procurement support, data gathering & research, regulatory compliance (HIPAA).
- Full Background Check.
- Influenza vaccination and additional required immunizations.
- Former state employees who were disciplinarily terminated or resigned must disclose the information and provide an explanation.
