Pennybacker is seeking a meticulous and strategic Executive Assistant to the President to manage complex calendars, coordinate communications, and handle light office administration duties. This is an ideal role for an experienced professional who thrives in a rapidly growing, discreet, and high-integrity environment.

Key Responsibilities

Executive Support

  • Manage complex and dynamic calendars, scheduling internal and external meetings with precision
  • Coordinate executive travel (domestic and international), including itineraries, accommodations, and logistics
  • Prepare executives for meetings with advance materials, agendas, and follow-ups
  • Draft, edit, and manage correspondence, reports, and presentations with a high degree of accuracy and confidentiality
  • Submit accurate and timely expense reports for yourself and executive while serving as reporting support for office staff as needed
  • Support special projects, track action items, and follow initiatives through to completion
  • Maintain absolute confidentiality regarding sensitive company information, strategic planning, and personnel matters

Office Operations

  • Serve as the primary point of contact for the Denver office, ensuring a professional, organized, and welcoming environment
  • Greet visitors and manage conference room scheduling and readiness
  • Coordinate office lunches, meetings, and events, including catering, setup, breakdown, and cleanup
  • Oversee day-to-day office operations, including incoming/outgoing mail, office equipment, and supplies
  • Order and maintain office and kitchen supplies
  • Coordinate with building management, vendors, and an outsourced IT provider
  • Schedule and oversee office-related services and vendors
  • Set up workstations, security access, and onboarding logistics for new hires
  • Communicate office updates and information clearly to staff
Qualifications
  • 6+ years of executive assistant experience (professional services, finance, or investment environment ideally)
  • Demonstrated ability to handle highly sensitive and confidential information with discretion
  • Exceptional interpersonal, written, and verbal communication skills
  • Strong organizational skills with meticulous attention to detail and follow-through
  • Proactive, adaptable, resourceful, and comfortable managing competing priorities
  • Team-oriented mindset with a willingness to step in wherever needed
  • Flexibility to work extended hours during peak periods, including occasional early mornings or evenings
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Strong working knowledge of office systems, equipment, and procedures
  • Bachelor’s degree preferred or equivalent professional experience
