The Department of Law, Civil Litigation and Employment Law (CLEL) Section is seeking a high functioning administrative professional to support the section leadership team, the new Public Safety Unit, and Senior Employment Counsel. This Administrative Assistant III

What

You Will Do

This Administrative Assistant III will provide administrative and legal support services for to the Deputy, Assistant Deputy, Litigation Manager, Office Manager, Senior Employment Counsel, and Public Safety Unit.

Duties include:

  • Manages the calendars of the Assistant Deputy, Section Litigation Manager, Senior Employment Counsel;
  • Produces, proofreads, and formats documents, including section-wide presentations and communications, correspondence, legal filings, reports, and newsletters;
  • Assists with data collection, aggregation, analysis, and reporting;
  • Screens and directs phone calls and visitors; controls the flow of written and telephonic communications and ensures that urgent matters are promptly referred to the appropriate individual or unit;
  • Effectively uses software, including Pro Law, SharePoint, Microsoft Word, Excel, PowerPoint, One Note, Teams, Google Drive, Doodle Poll, and Outlook to organize and track administrative information;
  • Operates independently and collaborates with other administrative assistants to coordinate and compile data and narrative reports including monthly client litigation reports, the Section Annual Report, Controller’s Annual Report, and program reports;
  • Creates and revises office procedures and related manuals, forms, and records keeping systems to streamline and standardize the collection and dissemination of information;
  • Assists with office space allocation, equipment needs, and office supplies;
  • Mails and distributes documents and files documents in court;
  • Provides backup for other support staff when needed;
  • In collaboration with the Assistant Deputy, administrators the State Claims Board meetings in adherence with open meetings laws and established procedures, including drafting the agenda, coordinating schedules and facilitating zoom meetings, and taking minutes;
  • In collaboration with the Deputy, coordinates Writs of Garnishment in accordance with the applicable Attorney General Directives, including logging receipt and document flow.

Salary note:
Although a salary range is listed, salary will be set commensurate with the successful candidate’s qualifications and in compliance with the Equal Pay for Equal Work Act.
