Job Summary:
The Executive Assistant to the President & Board Liaison serves as the senior administrative and operational leader within the President’s Office. This role is responsible for overseeing executive administrative operations, serving as the primary operational liaison to the Board of Trustees and ensuring the effective preparation and coordination of Senior Leadership Team (SLT) agendas and documentation.
Operating with a high degree of discretion and independent judgement, the Executive Assistant manages the operational budget of the President’s Office, supervises the Assistant to the President & VP/CFO, and ensures that executive, Board, and leadership processes are executed smoothly, professionally, and in alignment with institutional expectations. The role may serve as a delegated institutional representative at the President’s direction for operational or Board-related matters.
The Executive Assistant also leads special projects on behalf of the President, ensuring timely, accurate, and effective execution of executive priorities.
This position acts with a commitment to the Jesuit mission and values of Regis University, including cura personalis, respect for the dignity of each person, and service to the common good, modeling these principles in all interactions and responsibilities.
The Executive Assistant directly supports the mission of Regis University by enabling effective executive leadership operations and maintaining the integrity, professionalism, and confidentiality of the Office of the President.
Major
Duties and Responsibilities:
President’s Office Operations & Management:
* Serves as the senior administrative leader of the President’s Office, ensuring efficient, organized, and professional executive operations.
* Exercises independent judgement in prioritizing executive matters, anticipating needs, and resolving administrative issues.
* Provides oversight to executive communications and correspondence workflows, ensuring appropriate monitoring, triage, and follow-up of the President’s email and written communications.
* Oversees executive workflows and office protocols to ensure consistency and effectiveness while fostering a collaborative, supportive and high-functioning President’s Office.
* Prepares executive briefing materials, summaries, and background documentation for the President as needed.
* Serves as a resource and a point of escalation for administrative issues within the President’s Office.
* Manages sensitive and confidential information with the highest level of discretion.
* Provides direct supervision to the Assistant to the President, leading through mentorship, coaching and development to support growth.
* Partners with the Assistant to the President to build strong administrative practices, proactively address challenges, and continuously improve executive and Board support processes.
* Demonstrates professionalism, discretion, and hospitality consistent with Jesuit values when engaging with internal and external stakeholders.
Board of Trustees Liaison & Operations:
* Serves as the primary operational liaison between the President’s Office and the Board of Trustees.
* Oversees the preparation, coordination, and accuracy of Board meeting materials, agendas, briefing documents, and records in partnership with the President.
* Ensures Board timelines, communications, documentation, and portal materials are complete, accurate and delivered on schedule.
* Attends Board meetings as required to support administrative operations and documentation.
* Supervises and ensures the effective execution of all Board-related administrative duties, including logistics, minutes, records management, and follow-up documentation.
