Position Title: Operations Coordinator

Department: Governor’s Office of Operations and Cabinet Affairs

FLSA Status: Exempt

Work Schedule: Hybrid – in office at least 3 days per week.

Term Limited: The position is funded through the end of Governor Polis' administration (1/11/27).

Organizational Relationships: The Operations Coordinator reports to the Director of Operations & Cabinet Affairs. Supports the Office of Operations and Cabinet Affairs, the Scheduling and Advance Teams, and may support other Executive Assistants within the Governor’s Office.

Expected Annual Travel: Occasional in‑state travel.

Summary of Functions

The Operations Coordinator supports the Governor’s Office of Operations & Cabinet Affairs to ensure seamless coordination of team deliverables and administrative functions. This position assists with coordinating team‑wide workflows and project management, implementing and maintaining team processes and timelines. The coordinator serves as a liaison between Executive branch agencies and the Operations team and plays a critical role in maintaining timely and ongoing communication between the Governor’s Office and state agencies.

The role serves as the administrative lead for the Governor’s Office of Operations & Cabinet Affairs and plays an active role in day‑to‑day meetings and operations, managing the Director’s schedule, coordinating meetings and events, gathering briefing materials, and providing quality control for information and task gathering. The coordinator attends meetings alongside members of the Operations Team and Executive Leadership to capture notes, track action items, and ensure completion of next steps.

The coordinator leads special projects, as assigned, and applies skills in support of team objectives.

Duties and Responsibilities Internal Operations
  • Serve as a liaison between the Governor’s Office, state agencies and external parties; field inquiries and facilitate ongoing communication across multiple organizations, triaging information as needed.
  • Support Operations team leadership with workstream tracking to ensure shared awareness of key deliverables, priorities, and timelines, and help manage staff workloads. Develop and maintain systems of effective project and process management.
  • Create and ensure timely delivery of relevant briefing materials for the Governor, the Director of Operations and Cabinet Affairs, and other members of Governor’s Office leadership.
  • Coordinate and attend all Operations team meetings and specific meetings alongside members of the Operations Team and Executive Leadership; distribute agendas, capture notes, action items, and help ensure completion of next steps.
  • Help maintain the Operations team website, inclusive of agency performance plans and performance reports; ensure all public‑facing information is current, accurate, and meets Colorado’s accessibility requirements.
  • Support the Operations Data Analyst and Operations Advisors with data collection and quality control; help ensure agency data is submitted and approved on time, providing technical assistance when appropriate.
  • Serve as team lead for all event planning, logistics, and coordination; events include staff retreats, roundtable discussions, site visits, employee appreciation, and other special events.
  • Support hiring, onboarding, and offboarding processes for the Operations team; review applications, schedule interviews, and coordinate with human resources.
  • Provide day‑to‑day technical support for hybrid and virtual meetings (e.g., Zoom, Webex, Google Meets); ensure smooth setup, troubleshoot issues, and manage technical logistics; coordinate with the Governor’s Office IT Manager to elevate critical IT requests.
Administrative
  • Coordinate all aspects of the Director of Operations’ schedule and provide ongoing management of the calendar, with regular check‑ins; provide scheduling assistance for other members of the Operations team as needed.
