Position OverviewAs an Executive Support Coordinator (ESC), you’ll provide high‑level administrative support to the organization, assisting local and visiting PPMDDs and providing backup for executive assistants. You will coordinate office events, manage projects, maintain documents, and support executives with travel, expenses, and communications.
Key Responsibilities- Assist in planning, organizing, and executing local office events, including meetings, training, and corporate gatherings, in compliance with policy and in collaboration with CBRE.
- Coordinate logistics such as venue selection, catering, and materials preparation with the Meeting and Events team.
- Prepare and organize materials for onsite meetings, presentations, and reports.
- Build and maintain relationships with internal personnel at all levels.
- Manage and coordinate small projects and track progress.
- Apply firm policies on quality, risk, and confidentiality to daily operations.
- Share knowledge of firm technology, work processes, and structure.
- Utilize firm resources to execute deliverables and solve problems.
- Maintain documents on file servers and support record‑retention policies.
- Act as backup for other executive assistants during absences or peak workloads, handling travel booking, expense processing, and other support tasks.
- Collaborate with the executive support team to facilitate smooth operations and effective communication.
- High attention to detail and confidence in quality of work.
- Ability to manage conflicting priorities, organize workflow, anticipate customer needs, and use alternative resources.
- Proactive coach and knowledge sharer.
- Advanced understanding of firm structure, service lines, key personnel, software, and policies.
- Work independently with minimal supervision.
- Availability to provide in‑office support five days a week.
- 4+ years of relevant business experience or a combination of no less than 2 years of relevant experience and an associate's degree or higher.
- Proficiency in MS Word, Excel, PowerPoint, Teams, and Outlook.
- Proficiency in automated calendar management tools (e.g., Outlook) and operating on iOS and Android devices.
- Proficiency in MS SharePoint.
- Competitive base salary range $46,900‑$98,000 nationwide; $56,300‑$111,400 for select metro areas. Total rewards include medical, dental, pension, 401(k), and paid time off.
- 100% in‑office required.
