Position Summary

The Donor Experience Specialist is responsible for supporting the Donor Experience Team with correspondence, scheduling appointments and other tasks related to pipeline philanthropy, engagement, events, communications, and operations. This position reports to the Sr. Dir. Of Donor Engagement & Operations and will provide support directly to that role in addition to key initiatives of the team. This position administers the Craig Foundation expense budget and reconciliation as well as essential functions related to Foundation compliance.

The Donor Experience Specialist is a customer relations representative at the Foundation and will assist with tasks related to office management. Additionally, this position is responsible for Foundation‑related processes and procedures and will project manage tasks and initiatives on behalf of the Donor Experience Team.

Position Requirements
  • Licensure/Certification/Registrations:
    None
  • Education:

    High school diploma or GED equivalent, required. Bachelors degree preferred.
  • Experience:

    One year working in a support role for a nonprofit organization or comparable experience preferred and experience maintaining information in databases and/or spreadsheets. Prior experience working in a philanthropy office preferred.
  • Skills & Abilities:
    Ability to work independently, as well as, collaboratively and successfully as a member of a team. Ability to work across departments and different team environments. Ability to organize, prioritize and meet deadlines, while effectively managing multiple projects simultaneously. Ability to flex and focus with multiple distractions. Ability to manage recurring tasks as well as special projects. Must be able to successfully and effectively communicate verbally and in writing with a variety of personnel.

    Strong collaboration and proactive communication is essential. Possess good analytical, problem‑solving, and project management skills; tactful, good listener, willingness to search out answers, must be detail oriented with excellent follow‑through. The ability to relate to persons of all ages and diverse backgrounds, skills and abilities. Ability to manage diverse and confidential information with discretion and good judgment. Creative and able to be an “out of the box” thinker.

    Consistent, reliable, considerate, and responsive. Ability to present self in a personable, professional and energetic manner. Knowledge of principles and techniques relevant to philanthropy and operations. Must have a high level of accuracy and proofreading skills. Raiser's Edge/NXT knowledge preferred. Strong computer skills, including internet research/navigation, advanced spreadsheet skills and Microsoft Office Suite. Ability to display a passion for the mission of Craig Hospital.
Essential

Functions
  • Coordinate expense reports, invoicing, and mileage at the Craig Foundation and complete budget entry and reconciliation. Facilitate correspondence with the Craig Business Office as well as department directors who receive funding from the Foundation. Serve as the internal subject‑matter expert for related processes and policies.
  • Coordinate and serve as analyst for the Craig Foundation annual expense budget and assist in annual budget preparation, communications, and follow‑up. Responsible for expense coding related to IRS reporting.
  • Support senior director of donor engagement & operations with scheduling, mileage and reimbursements, administrative tasks, managing processes, travel, logistics and other tasks as assigned.
  • Assist with team scheduling, meeting preparation, and organization, note‑taking, catering/procurement, and room logistics/technologies. Ensure an organized, proactive, and responsive operation.
  • Coordinate the annual state registration process and support enterprise zone application, renewal, and required documentation from donors.
  • Build and maintain a system for process and policy documentation and support an annual review and update of internal procedures.
