We are seeking a Payroll/AP Specialist who will be responsible for processing weekly payroll for all employees, processing accounts payable and accounts receivable transactions, assisting with collections, processing daily deposits, assisting with various administrative tasks and other tasks as required by the Controller and other team members.

Responsibilities:- Process weekly payroll accurately and on time, including handling timecards, reconciling hours, phase codes, deductions and other adjustments. Process termination checks as needed. Process bonus cycles as needed.
- Process payroll taxes, ensuring all filings, payments, audits, and submissions are completed accurately and on schedule.
- Process certified payroll, ensuring required wages and fringes are paid accurately, fringes are approved with the state every year, and certified reports are submitted on time.
- Reconcile payroll deductions and benefit contributions, including 401K and HSA. Keep up to date on annual limits, catch up contribution, etc. and work with employees to update their contributions.
- Record, review, code, and process accounts payable invoices, including sales and use tax calculations, in accordance with company approval protocols.
- Prepare and process weekly AP payment runs, including checks and ACH payments, and reconcile monthly vendor statements.
- Reconcile and manage company credit card, fuel, and purchasing accounts, including Visa, AMEX, Home Depot, and fuel statements.
- Record and post daily cash receipts, including ACH, checks, and credit card transactions, and ensure bank accounts are kept current.
- Support accounts receivable and collections, including maintaining aging schedules, communicating with customers on outstanding balances, and resolving invoice inquiries.
- Generate and distribute invoices and billing support, coordinating with project managers to verify quantities, pricing, cost codes, and approved adjustments.
- Maintain accurate customer and vendor records, including new account setup, W-9s, payment histories, and required documentation in Spectrum.
- Prepare annual 1099s and support month-end and year-end close activities, including reconciliations and journal entry support.
- Uphold internal controls, confidentiality, and compliance, ensuring all financial data aligns with company policies and accounting standards.
- Cross-train with the Job Cost Accountant role and serve as backup support when needed.
- Provide administrative and accounting support to the Controller and accounting team, responding to internal and external inquiries professionally.
Required:
- Minimum of 3 years of previous accounting experience or an accounting associate’s degree.
- Minimum of 2 years of construction payroll experience required, including certified payroll.
- High levels of trust and integrity required.
- Ability to work with minimal direction and exercise initiative.
- Ability to maintain a consistent and reliable working schedule.
- Strong written, verbal, and visual communication skills with attention to detail.
- Ability to solve problems and generate solutions.
