Responsibilities

  • Managing schedule, appointments, and travel arrangements of President Director.
  • Coordinate and manage the President's calendar, scheduling meetings, conferences, and appointments.
  • Arrange and coordinate travel logistics including flights, accommodations, transportation, and visas.
  • Prepare detailed itineraries and agendas for business trips and ensure all necessary arrangements are made.
  • Organize and prioritize incoming communications (phone calls, emails, letters) and respond on behalf of the President Director when appropriate.
  • Screen and direct phone calls, taking accurate messages and handling inquiries as needed.
  • Manage the President Directoremail inbox, sorting messages, flagging urgent matters, and drafting responses.
  • Prepare and coordinate meetings, conferences, and other events, including logistics, agenda creation, and document preparation.
  • Schedule and coordinate internal and external meetings, ensuring all necessary participants are informed.
  • Take detailed minutes and notes during meetings, and follow up on action items as needed.
  • Draft professional and polished correspondence, including letters, emails, and memos.
  • Maintain and update confidential files and records, ensuring accuracy and easy retrieval.
  • Establish and maintain a systematic filing system, both physical and electronic, for easy retrieval of documents.
  • Serve as a liaison between the President Director and various departments, conveying information and requests.
  • Receive and assess incoming requests, inquiries, and issues, determining their urgency and priority.
  • Support the President Director in preparing budgets, monitoring expenses, and tracking financial documentation.
  • Coordinate with legal and other relevant departments to obtain necessary approvals and signatures.
  • Managing personal needed of President Director.
  • Managing personal Social Media of President Director
  • English proficiency is preferred.
Qualifications
  • Bachelor's degree in Business, Management, Administration, economic and related field.
  • Has experience as a Personal Assistant, Executive Assistant, or similar role supporting executive.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong verbal and written communication skills, with the ability to draft professional and polished correspondence.
  • Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling software.
  • Professionalism, poise, and the ability to represent the President and the company in a positive manner.
  • Knowledge of the manufacturing industry is a plus.
