The Accounting Clerk/Senior Accounting Clerk assigned to the Payroll section is responsible for entering various payroll transactions (e.g., new hires, promotions, transfers, demotions, terminations) in the CGI Human Resources Management System, processing wage changes, IRS levies, child support orders, educational garnishments, and auditing personnel action forms and other reports for accuracy. This position also assists with processing/entering Family and Medical Leave (FMLA) and Leave of Absence requests in the absence of the FMLA Coordinator and supports the HRIS section with the CGI Advantage upgrade.
Candidates must be well‑organized, detail‑oriented, capable of handling a high volume of documents (approximately 300 documents biweekly) with a high degree of accuracy, and possess excellent customer service skills and proficiency in Word and Excel.
- Conducts/presents New Employee Orientation for the payroll section.
- Scans payroll records to employee files.
- Attends work on a regular and consistent basis.
- May be assigned to other office locations based on operational needs.
- Must adhere to Federal, State, County, and Local ordinances.
- Responds to emergency situations.
- Performs other duties as assigned.
- Conducts routine, non‑complex audits of payroll records by examining and verifying reports.
- Prepares reports using Excel or MS Word processing software.
- Assists in other bookkeeping functions such as maintaining files and daily payroll reports.
- Processes personnel action forms.
- Assists divisions with questions and/or completing personnel action forms.
- Processes W‑4 forms, direct deposit, union dues and other miscellaneous payroll.
- Audits and proofs personnel action forms or other reports for clerical accuracy and conformance to division/activity, County, and State procedures.
- Assists with processing Family and Medical Leave (FMLA) and Leave of Absence requests in the absence of the FMLA Coordinator.
- Assists the HRIS section with division‑wide upgrades.
- Maintains payroll records.
- Reconciles worksheets.
- Answers internal and external customer questions.
- Oversees and processes the Employee Computer Purchase Program requests.
- Performs/assists with duties of the accounting clerk.
- Enters payroll transactions and information (e.g., personnel action forms, court orders, garnishments) into the HRIS.
- Analyzes and creates payroll records and reports.
- Prepares statements from payroll records.
- Prepares biweekly and annual reports.
- Reconciles payroll deductions.
- Audits personnel action forms, audits pay, and reviews effective dates.
- Exercises judgment and works without close supervision.
- Answers complex, technical questions from employees and outside vendors.
- Verifies that all paperwork submitted is complete and accurate before processing.
- Communicates with internal and external agencies to finalize court orders.
- May be responsible for the daily operation of the payroll section in the absence of the supervisor or act as a lead worker.
- Graduation from high school or possession of a GED certificate and one (1) year of bookkeeping, accounting clerk or payroll clerk experience as noted in the illustrated duties.
- A comparable amount of education, training, or experience may be substituted for the minimum requirements.
- Must possess a valid driver’s license at time of hire and obtain a valid Florida driver’s license within 30 days of hire.

- Graduation from high school or possession of GED.
- Four (4) years of progressively responsible experience in accounting or payroll, or two (2) years of experience as an Accounting Clerk with the County of Volusia.
- A comparable amount of related education, training, or experience may be substituted for up to three (3) years of experience.
- Must possess a valid driver’s license at time of hire and obtain a valid Florida driver’s license within 30 days of hire.
