The Finance & Development Operations Coordinator University Lake School is a full-time, year-round position that provides essential administrative, financial, and development support within a mission-driven, non-profit independent school environment.
Reporting to and supporting the Chief Financial Officer and Development Director,this role is ideal for an individual that believes in the mission, vision, and values of University Lake School who is seeking a career in independent school administration and is eager to gain hands-on experience across finance, advancement, board committees, events, and school operations.
Success in this position requires strong attention to detail, project management skills, discretion in handling confidential information related to students, families, and donors, and the ability to manage multiple priorities in a collaborative school setting. The ideal candidate would be a self-starter, and be able to solve problems independently with guidance from their supervisor. The Coordinator will work closely with colleagues across departments and will gain valuable exposure to the financial and operational systems that support a K-12 independent school.
- Support CFO and Development Director on administrative tasks such as preparing reports, managing meeting agendas and minutes, and fulfilling grant, audit, and regulatory compliance requirements.
- Process donations, generating gift and pledge acknowledgements, receipts, pledge reminders and thank you letters
- Maintain an up-to-date donor database and reaching out to constituents for updated information
- Record, compile, and reconcile monthly financial inputs
- Support weekly vendor check runs
- Make billing entries and invoices related to student services
- Maintain, organize, and file records
- Assist in the annual financial audit, 990, 5500 and other regulatory filings.
- Assist advancement events with communication, materials, and logistical support.
- Support other accounts payable, receivable, and payroll activities and tasks as needed
- Strong attention to detail
- Ability to maintain privacy and confidentiality of families, students, and donors
- Advanced use of Google Suite products
- Familiarity with databases, experience with Raisers Edge and/or Financial Edge is preferable
- Ability to manage up, balance multiple tasks and responsibilities, and communicate effectively with manager and others about their priorities
- Experience in the field of accounting or human resources, advancement, or attending school for a related field
- Demonstrated ability to develop and maintain positive working relationships, and to model self-disciplined and ethical behavior
- Strong communication skills, both written and verbal
This is a full-time year-round position.
