Position: Customer Clerk - City Arts

The Part-Time Office Administrative Aide serves as the welcoming hub of City Arts, providing essential front‑desk and administrative support that keeps daily operations running smoothly. Working independently, this position greets patrons, answers incoming calls, and serves as a reliable point of contact for students, instructors, and visitors. The role requires sound judgment, organization, and critical thinking to manage inquiries, coordinate class‑related communication, and support City Arts programming with accuracy and professionalism.

In addition, the Administrative Aide assists with the City Arts Art Shoppe by supporting retail transactions and inventory activities. Reporting directly to the City Arts Administrative Team, this position adds value by ensuring a positive customer experience, maintaining clear communication between staff and the public, and supporting the administrative backbone of the City’s arts programs.

THIS IS A LIMITED PART‑TIME POSITION (NO BENEFITS)

The day and hours for this position:

  • Monday – Thursday: 4:00 pm – 9:00 pm
  • Saturday: 8:30 am – 4:00 pm.
  • First Fridays: 4:00 pm – 9:00 pm

Responsibilities
  • Specific duties depend on actual work location and activities.
  • Accept service inquiries and related information from customers by phone or personal contact.
  • Accept money from the public and issue change and receipts.
  • Keep records related to money received and disbursed.
  • Open and distribute mail.
  • Submit required reports.
  • Meet and greet all visitors.
  • Give information to the public regarding department services and activities.
  • Set up and take down building furnishings and arrangements.
  • Stock merchandise and/or other supplies.
  • Maintain work area in a manner that is attractive to customers.
  • May assist in training and supervising other seasonal/temporary employees.
  • Completion of work assignments may require operation of a vehicle.

  • Other related duties may be assigned as needed.
Requirements
  • Specific requirements depend on actual work location and activities.
  • Some knowledge of basic record‑keeping methods.
  • Ability to use the four functions of mathematics.
  • Ability to count money and make change.
  • Ability to use a calculator with speed and accuracy.
  • Ability to use a computer to access, interpret and record information.
  • Ability to access records in file cabinets, books, and/or on microfilm.
  • Ability to accept and respond to a steady volume of requests for information and/or service, both in person and over the telephone.
  • Ability to move about quickly, and stand, walk, reach, bend, stoop or squat as needed to perform assigned tasks.
  • Ability to lift and carry stacks, boxes or other loads weighing up to 40 pounds.
  • Ability to communicate clearly and effectively, orally and in writing, and/or by whatever creative means are necessary to cross communication barriers.
  • Able to maintain effective working relationships with associates and the public.
  • May require ability to acquire and maintain a valid Kansas Driver's License.
  • An employee will not pose a direct threat to the health or safety of other individuals in the workplace.
Required Experience and Training
  • Six (6) months of experience performing front‑desk, receptionist, or office administrative support duties.
  • Must be legally authorized to work in the United States without the need of a sponsorship.
Preferred Experience and Training
  • Six months of experience supporting retail operations, including sales transactions and basic inventory tracking.
  • Six months of experience working in an arts, education, recreation, or community‑based organization.

Offers of employment are contingent upon passing a pre‑employment physical, which includes drug screening, and upon satisfactory evaluation of a criminal record check.
