Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
The Opportunity:
Right now, our corporate office is intentionally lean. We move fast here. We’re not a corporate environment where everything sits in meetings for weeks. I am looking for a highly driven Executive Assistant to be my absolute right-hand.
This is not a traditional paper‑pushing job, and you’re not coming in as just an assistant doing tasks. This is a hybrid role. Half of your job is helping me run the office operations and coordinating our remote team. The other half is making my daily life completely frictionless—handling the small stuff, running interference, and doing whatever it takes to keep my day moving smoothly.
If you are hungry, highly organized, and want direct, behind‑the‑scenes exposure to how a business is actually run and scaled, this is your fast track.
What You Will Do:- Run the Day: Manage the schedule, handle incoming calls, and aggressively protect my time. If I need a file pulled, a vendor called, or a meeting prepped, you are on it before I even have to ask.
- Master the Operations: Learn our systems inside and out. You will help coordinate a remote team that supports over 30 locations and ensure workflow never stops.
- Be the Gatekeeper: You are the first line of defense for the office. We handle sensitive data, so you will control office traffic, verify vendors, and keep everything secure.
- Solve Problems Proactively: If something needs to get done, we solve it, build a process around it, and move forward. If a process is broken, you fix it. If something looks off, you correct it.
- Proximity to Dearborn (20-25 Mins Max): Because this role requires you to manage the physical office, handle the daily opening/closing routines, and occasionally run local errands, a short commute is non‑negotiable. You must live within a 20‑to‑25‑minute drive of our Dearborn, MI office.
- Thick Skin & Adaptable: You understand direct, fast‑paced communication styles without taking things personally. You can read the room quickly and are comfortable navigating diverse business environments.
- A Hustler: You have a "figure‑it‑out" mentality. You don't wait to be told what to do next. You are organized, proactive, and comfortable making decisions.
- A "Search Before Asking" Mindset: We have heavily documented guides and SOPs. You are the type of person who will search for the answer or look for a past sample before you ask someone else. You are resourceful and don't need your hand held.
- Zero Ego: No task is beneath you. You might be coordinating a complex workflow with our remote team at 10:00 AM, and wiping down the conference room table to prep for a major meeting at 10:30 AM. If you think certain tasks are "not your job," this is not the role for you.
- A Blank Canvas & Sponge: You are eager to learn, adaptable, and want to absorb everything about business operations from the ground up.
This role is a launchpad. Because we’ve built a lot of systems already, you’re stepping into a structure that works, but there’s also room to improve things and take ownership. For the right person who proves their value, learns the business, and becomes indispensable, there is a clear growth trajectory with the potential to scale into a six‑figure ($100k+) operations leadership role.
