Job SummaryThe Document Control Analyst supports the Engineering, Procurement, and Construction (EPC) organization by managing, organizing, and maintaining project documentation throughout the full project lifecycle. This role ensures that technical, contractual, and regulatory documents are accurate, current, traceable, and accessible to authorized stakeholders. The position is suited for an early‑career professional with a foundational understanding of document control principles who is looking to grow within a complex, highly regulated manufacturing and construction environment.
EssentialDuties
- Receive, log, distribute, track, and archive project documents including drawings, specifications, RFIs, submittals, contracts, change orders, schedules, and closeout records.
- Maintain document registers, transmittals, and revision histories to ensure document traceability and version control.
- Verify documents for completeness, formatting, naming conventions, and compliance with internal document control procedures prior to distribution.
- Support document lifecycle activities from design through construction, commissioning, and turnover.
- Support project closeout by compiling as‑built documentation, turnover packages, and records for operations.
- Maintain and update electronic document management systems (EDMS), shared drives, and collaboration platforms.
- Apply consistent metadata, indexing, and filing structures to support efficient document retrieval.
- Generate routine document status reports and metrics for project teams and EPC leadership.
- Learn and apply EPC document control best practices within a regulated manufacturing and construction environment.
- Identify recurring document control issues or inefficiencies and support corrective actions.
- Participate in process improvement initiatives related to document workflows, tools, and standards.
- Provide day‑to‑day document control support to engineering, procurement, and construction team members.
- Respond to basic document‑related questions and requests in accordance with established procedures.
- Support consistent use of document control processes by internal teams and external partners.
- Coordinate document workflows between Engineering, Procurement, Construction, external contractors, consultants, and suppliers.
- Assist with vendor and supplier document tracking, including technical submittals and data books.
- Collaborate with cross‑functional teams to identify and resolve document‑related issues in a timely manner.
- Follow established document control procedures, quality standards, and audit requirements.
- Support internal and external audits by providing controlled documentation and records.
- Identify document control issues and elevate discrepancies or risks.
Wearing PPE is required and includes equipment such as a full Tyvek suit, safety shoes, gloves, safety glasses, face mask, and a full hazmat suit that includes a respirator. A respirator fit test will be required based on functional area.
Qualifications Education, Certifications, and Licenses- Bachelor’s degree in Business Administration, Information Management, Engineering Technology, Construction Management, or a related field, or an equivalent combination of education and relevant work experience.
- Certified Document Controller (CDC) or equivalent document control certification.
- Records or Information Management certificate (e.g., AIIM or similar organization).
- System‑specific training or certification aligned to EPC document platforms (e.g., SharePoint, Aconex, Procore, or comparable EDMS tools).
- Introductory project management coursework or certification (non‑PMP level).
