Summary
This position is in Patient Business Service, Ward Administration at the Dayton VA Medical Center. The Advanced Medical Support Assistant (A/MSA) is responsible for performing a variety of technical support duties that facilitate the work of physicians, physician assistants, nurses, nursing assistants, and other members of the medical facility who provide direct patient care. A/MSAs are considered chief sources of patient care and patient flow information.

Duties include, but are not limited to:
- Utilizes knowledge of ED procedures and processes to accurately schedule visits in accordance with existing procedures and guidelines. Prints armbands and labels for patients.
- Uses knowledge of ED services and procedure guidelines to clearly inform our customers (orally or in writing) or be able to direct inquiries regarding services to the appropriate personnel for resolution. Inventories and orders administrative supplies for the daily operations of his/her work area; notifies appropriate Services for assistance with office equipment such as printers, copiers, computers, etc.
- Uses appropriate VA applications to perform check in of ED patients (VISTA, ICB, Preregistration, Registration, etc.); follows current procedures for notification of ED staff of patient s arrival/check-in; develops working knowledge of policies, regulations and procedures regarding Veterans healthcare programs, patient eligibility, and primary care processes.
- Utilizes the Pre-Registration Menu option to validate the accuracy of enrolled patient database with each encounter: by telephone and/or in person; validates data which includes patient demographics, health insurance information.
- Utilizes knowledge of managing ward units. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment. The incumbent will assist in the unit orientation of the clinical staff on administrative matters, including, but not limited to, VA regulations, policies, and procedures. The incumbent will maintain a close working relationship with the clinical staff on assigned units.
- Sets the tone for perception concerning quality of healthcare services at the VA.
- Screens/receives phone calls in a courteous and timely manner, determines the nature of request and provides the information desired using privacy rules and established clinic processes.
- Responsible for following through on providers orders including scheduling appropriate consultation requests, labs, x-rays, and various other specialty areas. A/MSA will ensure schedule all appointments with the patient s input.
- Sends, receives and/or processes sensitive information and reports in accordance with established procedures; provides timely and accurate release of medical information for incidental releases and ensures full compliance with Privacy.
- Ability to meet, communicate, and interact with individuals from varying backgrounds and with other health care team members to complete job assignments.
- Ability to use various types of office automation equipment and software, to include ability to set up, organize, and maintain record systems. Utilizes such programs and databases to make appointments in a clinical setting.
- Maintains patient confidentiality with information, per HIPAA requirements.
- Complies with Employee Education requirements by completing mandatory annual assignments through the TMS and complies with any other training or education requirements as determined by the supervisor.
- Work in a proficient and self-directed manner to accomplish a wide variety of tasks. The A/MSA can independently manage position responsibilities with little supervision as well as set priorities and deadlines adjusting the flow and sequencing of the work to meet team and patient needs.
