The Executive Assistant to the CEO and CFO provides high-level administrative, operational, and coordination support to the Chief Executive Officer and Chief Financial Officer of Full Circle Recovery Services and affiliated entities under common ownership. This position is responsible for supporting two senior executives simultaneously while managing schedules, contracts, corporate documentation, and strategic priorities across multiple business entities. The role requires exceptional attention to detail, strong organizational and time‑management skills, discretion, and the ability to manage competing priorities in a fast‑paced environment.
The Executive Assistant serves as a trusted administrative partner to both executives and plays a critical role in maintaining efficient leadership operations, document integrity, and organizational effectiveness.
Monday-Friday, 8:00am to 4:30pm
Starting at $50,000/year
Primary Duties- Provide direct administrative support to the CEO and CFO
- Manage and coordinate calendars, meetings, and senior management commitments
- Prepare correspondence, reports, presentations, and executive communications
- Coordinate meeting logistics, prepare agendas, compile supporting documentation, and track follow‑up action items
- Arrange travel and manage related documentation and expense reporting as needed
- Serve as a liaison between senior management, leadership team members, board members, vendors, and external partners
- Prepare, format, proofread, and organize contracts, leases, agreements, amendments, and related business documents
- Track contract deadlines, renewal dates, compliance requirements, and key obligations
- Maintain organized electronic and physical filing systems, clearly distinguishing documentation by legal entity
- Support corporate recordkeeping and retention practices across multiple affiliated entities
- Assist with operational and strategic projects as assigned by the CEO or CFO
- Monitor and track executive priorities, deadlines, and deliverables
- Maintain strict confidentiality of financial, legal, personnel, and strategic information
- Exercise sound judgment and discretion in handling sensitive matters
- Represent the senior leadership office with professionalism and integrity
- Perform other duties as assigned
- Associate or bachelor’s degree preferred; equivalent experience required
- Minimum of 3–5 years of experience providing high‑level support to senior management (CEO, CFO, or similar leadership roles)
- Experience working with contracts, agreements, or corporate documentation strongly preferred
- Experience in a multi‑entity organizational structure preferred
- Experience in healthcare, behavioral health, or other regulated environments preferred
- Exceptional attention to detail and accuracy
- Strong organizational and time‑management skills
- Ability to manage multiple leaders and competing priorities simultaneously
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Strong written and verbal communication skills
- Ability to work independently with minimal supervision
- High degree of professionalism, discretion, and polished presence
- Strong problem‑solving and critical‑thinking skills
- This position may require the use of a Company or personal vehicle. Candidates must have a valid driver’s license and possess the ability to comply with company auto insurance policy.
