Position: Telephone Operator 2

Overview

Under direct supervision of the clerical supervisor responsible for performing receptionist & telephone operator duties.

Responsibilities
  • Greet visitors and ensure they are directed to the appropriate person; maintain a visitor log.
  • Answer calls related to general agency inquiries and route calls to appropriate staff; maintain an updated employee list with extensions.
  • Monitor visitor activity in lobby area and ensure visitors are not waiting more than 10 minutes without staff contact.
  • Receive specialized technical training on computerized telephone system.
  • Schedule agency conference rooms.
  • Disburse and account for bus tokens.
  • Process incoming faxes.
  • Maintain employee sign-in books.
  • Process case plan amendments to court daily, if applicable.
  • Address operational issues with the second-floor copy room copier/fax machine and ensure adequate supplies are available.
  • (Perform Related Duties as Required)
Qualifications
  • Completion of the twelfth grade supplemented with clerical courses and two years of experience in a business office demonstrating possession of the required skills, knowledge, and abilities.
  • Must have typing/keyboard experience. Word processing and computer proficiency required. Strong organizational skills are essential.
  • Ability to assume some supervisory responsibilities with other clerical staff as assigned.
  • Must be able to manage details, prioritize tasks, and work independently; OR alternative, equivalent evidence of the minimum class requirements.
  • Driving Requirement
    :
    Must maintain a current, valid United States driver’s license with an acceptable driving record.
  • Training and Development: Must maintain licensure and certification, if applicable.
