We are seeking a highly organized, proactive, and detail-oriented Accounting Manager to oversee the operations of the firm’s internal accounting and billing functions, ensuring the accuracy and integrity of all financial data. This position will focus exclusively on internal firm accounting and will not provide services to the firm’s clients.
This is a strategic, hands-on role suited for someone who thrives in a fast-paced, professional environment. The ideal candidate will be a proactive, detail-oriented problem-solver with a commitment to continuous process improvement and desire to support the continued growth of the firm. This role reports to the Chief Financial Officer.
ESSENTIAL JOB FUNCTIONS- Oversee the day-to-day management of the firm’s accounting and billing functions
- Ensure accuracy of cash receipts and disbursements, bank reconciliations, general ledger activity, fixed asset accounting, journal entries, and month-end close functions
- Review internal financial statements and supplemental management reporting
- Oversee internal billing cycle to ensure accurate and timely invoicing of client work
- Review all monthly billing and reconciliation reports
- Monitor accounts receivable, collections, write-offs, and aging reports
- Create processes for unique billing arrangements such as subscription-based billing, retainer models, and complex fee structures
- Review of accounting and billing processes to identify inefficiencies and opportunities for process improvement
- Manage and optimize use of all accounting and billing related software to drive operational efficiency
- Oversee payroll processing function
- Coordinate with HR on compensation-related reporting and compliance issues
- Collaborate with CFO on the preparation of the annual budget
- Develop forecasts and analyze variances against actual results
- Track KPIs such as realization, utilization, profitability, etc.
- Oversee Ohio business tax filings (CAT, sales/use tax, unclaimed funds, etc.)
- Maintain internal controls and accounting & billing policies and procedures
- Identify opportunities to improve efficiency and accuracy across all processes
- Document accounting & billing procedures and workflows
- Supervise and mentor internal accounting and billing staff
- Support the CFO with assistance on projects and initiatives as needed
- Collaborate with all areas of the firm to create or enhance efficient and effective processes
- Bachelor’s degree in business administration (accounting, finance or related field) highly preferred
- 3-5 years of demonstrated experience preferably in a public accounting firm or professional services environment
- Experience with time and billing systems in a public accounting or professional services firm (preferred)
- Strong understanding of WIP (Work in Progress), billing rates, utilization and realization
- 2+ years of demonstrated leadership, including supervision of internal staff and external vendor relationships
- Process oriented with strong organizational skills and the ability to handle multiple responsibilities
- A proactive and continuous improvement mindset
- Ability to provide timely response and follow-up on internal and external requests and communications
- Proficiency with Microsoft 365 (Office apps, Teams, One Drive, etc.), and advanced Excel skills and financial modeling capabilities
- Strong analytical, organizational, and communication skills
- High integrity, discretion, and attention to detail
- Advanced computer literacy, including proficiency with practice management software
