Job Summary
The Executive Assistant (EA) will be a force multiplier for the CEO, enhancing efficiency and productivity within a fast‑paced, growth‑stage startup. You will operate with a high degree of autonomy, acting as the CEO’s gatekeeper, ambassador, and project lead. Beyond traditional administrative support, you will be the “heartbeat” of the office – driving efficiency, facilitating team communications, and cultivating team culture.
This role requires a "no task too big or too small" mentality and the ability to thrive in a fast‑paced, high‑growth environment.
Key Responsibilities
1. Executive Support- Calendar & Correspondence: Independently manage the CEO's calendar, prioritizing high‑impact meetings and preparing briefing materials to ensure the CEO is fully prepared for every engagement.
- Logistics Management: Oversee all aspects of domestic and international travel, creating itineraries that account for the CEO’s performance and productivity.
- Gatekeeping: Manage access to the CEO and protect their time, ensuring focus remains on the company’s highest strategic priorities.
- Special Projects & Ad‑Hoc Support: Proactively take on miscellaneous projects and "one‑off" requests as they arise to ensure the CEO can focus on mission‑critical goals.
- Cross‑Functional Communication: Facilitate the flow of information between the CEO and functional leads, ensuring alignment across the organization as it scales.
- Meeting & Event Management: Prepare agendas and take detailed notes for strategic meetings. Coordinate logistics for board meetings, company‑wide events, and other industry events.
- Process Improvement: Identify bottlenecks in current workflows and implement new systems (filing and folder structures for digital record keeping, reporting and action‑item resolution, communication) to support a growing team.
- Office Operations: Manage office needs and visits, ensuring the workspace is a professional and welcoming environment for the team and visitors.
- Culture & Engagement: Proactively identify and launch initiatives that foster a positive culture. This includes planning quarterly team activities, celebrating milestones (birthdays, anniversaries, product launches), and managing the "NuCicer traditions."
- Onboarding Facilitation: Partner with leadership to ensure new hires have a seamless "Day 1" experience, from setting up their physical workspace to coordinating their initial orientation schedule.
Required Knowledge, Skills, and Abilities
- Growth‑Stage Resilience: Comfortable with ambiguity and the "all hands on deck" nature of a scaling startup.
- Logistical Pro: Highly organized with the ability to manage the physical "moving parts" of an office or site visits.
- Communication & Presence: Exceptional verbal and written proficiency; ability to draft professional emails and assist in the proofing of investor and customer‑facing materials.
- Technical Proficiency: Expert‑level skills in Google Workspace, Microsoft Office, and the ability to adapt and quickly learn new project‑management, AI, and asset‑sharing tools.
- Discretion: Proven ability to handle sensitive investor and corporate data with absolute confidentiality.
Education, Experience, and Background
- Administrative
Experience:
Minimum of 5 years of experience in executive‑level support, ideally within a venture‑backed or growth‑stage company. - Operational Flexibility: Experience in roles that require a mix of office‑based administrative work and "active" on‑site coordination.
- Industry
Experience:
Experience in the agriculture, food tech, or life sciences sectors is highly desirable. - Education: A Bachelor’s degree (BA or BS) is required.
