About the Role

The referral process is the first step in a family’s Early Intervention journey—and it needs to be seamless, accurate, and timely. We’re looking for a Referral and Enrollment Coordinator who thrives on organization, communication, and helping families access services as smoothly as possible.

The Early Intervention Referral and Enrollment Coordinator is responsible for managing all new referrals to the Early Intervention division. This role ensures accurate and timely entry of referral and demographic data into required systems, schedules intake and initial evaluation appointments meeting Department of Public Health (DPH) timelines, verifies initial insurance eligibility, and supports enrollment processes. The coordinator also analyzes referral data to identify trends and issues, providing actionable insights to the Division Director.

What You'll Do

Referral Management

  • Receive and process all new referrals
  • Enter and maintain demographic and referral data into required systems
  • Verify insurance eligibility for referrals
  • Document insurance details in electronic medical records system and follow up with caregivers for additional information as needed
  • Schedule intake and initial evaluation appointments and communicate details to caregivers
  • Assign necessary intake and evaluation tasks to staff
  • Complete enrollment forms and upload documentation to electronic medical records
  • Maintain confidentiality and compliance with HIPAA and DPH regulations and internal policies
  • Serve as a liaison between caregivers, clinicians, and administrative staff
  • Provide customer service and support to families

Data Analysis

  • Track and analyze referral data for trends, bottlenecks, and issues
  • Prepare reports for division director
  • Recommend process improvements
What You'll Bring
  • Minimum of a high school diploma or equivalent
    • Associate's or Bachelor's preferred
  • 2 years of administrative experience in a healthcare or human services division
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office Suite and electronic health records (EHR)
  • Excellent written and verbal communication skills
