Group and Records Management CoordinatorDivision: Early Intervention
Reports to: Division Director
Pay: $27/hour
Location: Liberty Tree Mall
Schedule: Mon-Fri, 8am-4pm
Behind every successful group program is someone who keeps the information flowing, the logistics organized, and the details perfectly aligned. We’re looking for a Group and Records Management Coordinator who excels at creating order, managing processes, and ensuring everything runs smoothly for the people who rely on your work.
In this role, you will manage record requests, coordinate translation services, and oversee group enrollment processes to support the effectiveness of our programming. You’ll ensure documentation is accurate, confidentiality standards are upheld, and all logistical components come together seamlessly. Your ability to stay organized, communicative, and detail-focused will directly support staff, participants, and the overall success of our group services.
What You ll DoRecords & Documentation
- Manage all record requests and securely upload or transmit documents/records
- Prepare and send referral source letters
- Ensure compliance with confidentiality and documentation standards
Translation & Communication:
- Manage translation requests for documents and communications
- Send welcome packets to families and notifications to Service Coordinators
- Gather necessary medical records for group enrollment
- Build groups in electronic medical record and payment systems
- Maintain accurate records and file attendance sheets
- Arrange transportation for group participants
Health & Safety
- Ensure health and safety requirements are followed during group sessions
- Minimum of a high school diploma or equivalent
- Associate s or Bachelor s degree preferred
- 2 years administrative experience in healthcare or human services
- Strong organization, communication and problem-solving skills
- Proficiency in Microsoft Office Suite and electronic health record systems (EHR)
- Excellent written and verbal communication skills
