Summary

Responsible for performing various administrative, secretarial and clerical duties. Understands and follows the organization's policies, procedures and standards. Is an independent worker, meeting the day-to-day needs of the Department. Participates in the department's and organization’s performance improvement activities.

Responsibilities
  • Greets visitors, directs visitors appropriately; maintains the communication flow of the office.
  • Prepares reports, memos, correspondence, meeting minutes, special projects, etc.
  • Reviews and edits all written materials.
  • Copies and distributes all forms of communication to patients, physicians, and hospital staff as directed.
  • Answers the telephone in a professional manner; screens calls, takes messages, directs calls appropriately.
  • Sorts, logs and distributes all incoming mail; identifies mail that needs immediate attention.
  • Maintains an organized, efficient filing system.
  • Records, prepares and distributes meeting minutes.
  • Orders supplies and printing weekly. Assists in cost containment through appropriate ordering and conserving of supplies and equipment.
  • Interacts professionally with all visitors, within the department/office and with other departments.
  • Demonstrates the ability to be flexible and organized during stressful situations.
  • Manages and operates equipment safely and correctly.
  • Transcribes from dictated or written material minutes, memoranda, policies, procedures and reports.
  • Accurately enters monitoring and evaluation and study information into database software.
  • Assists Managers by providing clerical support for quality initiatives as directed.
  • Assists in the development and coordination of performance improvement reports to the Quality Council.
  • Distributes performance improvement/quality management, regulatory compliance and JCAHO preparedness materials as directed.
  • Accepts other duties as assigned.
  • Education

    H.S. Diploma required
