Position: OR Purchasing / Inventory Coordinator
Summary
Purchases equipment, supplies and services. Maintains adequate inventory levels and availability of supplies for Surgical Services departments and fulfils requests by management, clinicians and surgeons in accordance with hospital and departmental policy and procedure. Troubleshoots supply issues, coordinates needs among the multiple department entities, works with vendors and insures that products are readily available in a timely, efficient, cost-effective and safety oriented manner.
Responsibilities
Coordinates & processes supply purchases, equipment & services for patient care in OR, Ambulatory Surgery, Sterile Processing, Endoscopy, Anesthesiology & PACU and as needed. Works with management, clinicians and surgeons to ensure needed purchases of suSupervises storage, control & supplies. Maintains needed inventory in OR and related storerooms and carts to ensure service needs are met. Maintains accurate records and systems to insure processing efficiency & documentation activities.Works as a key part of OR supervisory team; evaluates dept. requirements, plans & coordinates equip., & supply levels. Coordinates/communicates Surgical Services requirements & associated priority with Supply Chain partners & other support departments.Contacts and meets with vendors to collect information, evaluates OR purchasing alternatives, ensure maximization of purchases, participates in the negotiation of pricing, contracts & agreements. Coordinates case requirements, establishes and monitors conUses manual/computerized system; maintains accurate inventory records, orders, invoices, returns/exchanges/repairs; documents cost effective use of resources. Approves invoices for payment; resolves discrepancies to correct pricing or delivery issues.Supports the patient charge process by identifying patient charge items as they are acquired, identifying chargeable items used on cases, supporting the OR patient charge group and processing patient charges as needed.Assists in the evaluation/in servicing of new products and equipment.Assists with preparation & monitoring of non-salary budget to achieve cost containment & optimal financial performance. Reviews/monitors monthly expense distribution reports. Corrects any errors with Accounting Department.Monitors Surgical Service activity; ensure availability of supplies & special equipment; & ensure continuity of service operations. Monitors advance schedule of surgical cases for need for special equipment & supplies.Monitors, maintains and updates the pricing of Surgical Services supply items in order to optimize reimbursement & to validate price increases.Reviews service contracts and insures continuous, cost effective service. Coordinates & insures that agreements are processed through the hospital system.Manages technical equipment programs with outside sources.Manages, organizes and controls the Materials Safety Data Sheets for the OR.Maintains competency and knowledge of clinical aspects of the Surgical Services areas in order to support the OR staff. Works to acquire expanding knowledge of how supplies and equipment are used in order to provide enhanced support in a highly technicalFulfills all compliance responsibilities related to the position.Performs other duties as assigned.Other Information
Required:
This position requires a minimum formal education of Associate Degree or graduation from a Surgical Technology Program or a minimum of five years job-related experience. Job related experience requires Supply Chain related work experience in a clinical setting either OR, Ambulatory Surgery Center, Cath Lab or other procedural based clinical environment. Computer Literacy in a supply chain or clinical system. Supply Chain background required.
Purchasing or inventory control experience required. Strong organizational skills.
