Site Coordinator

Job Description

The Site Coordinator is responsible for managing day-to-day site operations related to truck repairs, maintenance activities, and yard management. The role ensures that all vehicles are maintained in good working conditions, repair jobs are completed efficiently, and maintenance records are properly updated.

The Site Coordinator also supervises mechanics, helpers, and drivers during workshop operations and coordinates closely with the Operation Manager for smooth workflow and resource allocation.

• Receive daily repair requests and prepare job cards for each vehicle.
• Assign maintenance tasks to mechanics and monitor job progress.
• Conduct physical inspection of trucks before and after maintenance.
• Maintain a detailed record of all repairs, parts replacements, and services performed.
• Ensure timely completion of maintenance to reduce vehicle downtime.

• Manage daily activities of the yard and workshop area.
• Ensure all tools, equipment, and materials are properly used and maintained.
• Keep the yard organized and ensure safety and cleanliness standards.
• Supervise drivers and helpers during loading, unloading, and repair work.

• Coordinate with the Operation Manager for scheduling trucks for maintenance.
• Report urgent breakdowns and support mechanics in quick troubleshooting.
• Submit daily reports of maintenance status, completed jobs, and pending repairs.
• Communicate with the Accounts Department for spare parts and maintenance expenses.

• Monitor spare parts usage and maintain stock levels.
• Ensure that each part used is recorded against the respective truck.
• Verify all spare part receipts and disbursements from the maintenance store.
• Report any shortage or loss of tools or parts immediately to the management.

• Ensure all maintenance work complies with company safety rules and SOPs.
• Enforce use of personal protective equipment (PPE) for all workshop staff.
• Report unsafe conditions or incidents to the Operation Manager.
