. The organization values excellence, integrity, and operational efficiency, and is seeking an organized, service-oriented Executive Secretary to support senior leadership.
The Executive Secretary will provide high-level administrative and personal assistant support to senior executives. This role centers on expert calendar management, complex travel arrangements, meeting coordination, and preparing reports and presentations. The ideal candidate is discreet, detail-driven, highly proficient in Microsoft Office, and comfortable operating in a fast-paced, executive environment.
Key Responsibilities- Manage executive calendars: schedule, reschedule, and prioritize meetings across time zones; prepare briefs and agendas.
- Coordinate end-to-end travel: flights, visas, accommodation, ground transport, and detailed itineraries.
- Act as the primary point of contact between executives and internal/external stakeholders; screen calls and correspondence.
- Prepare, format, and proofread reports, presentations, and executive summaries using Microsoft Word, Excel, and PowerPoint.
- Track action items, deadlines, and follow-ups; ensure timely execution of tasks and decisions.
- Organize board and leadership meetings: logistics, rooms/VC links, materials, minutes, and action registers.
- Maintain confidential files, records, and databases with rigorous attention to detail.
- Handle general PA tasks: expenses, reimbursements, personal appointments, and document processing as needed.
- Support ad-hoc executive projects and light event coordination.
- Fluent English (spoken and written).
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Personal assistant (PA) skills with proven executive support experience.
- Travel arrangements experience (domestic & international).
- Reporting skills (drafting, formatting, and consolidating executive reports).
- 3–5 years of experience supporting C-level or senior leadership.
- Strong business writing and presentation skills.
- Discretion and integrity in handling sensitive information.
- Familiarity with Arabic is a plus.
- Experience with video conferencing tools and basic project tracking
