The Commercial Real Estate Administrator supports the Real Estate Department by managing lease transactions, renewals, and landlord communications with accuracy and professionalism. This role requires strong organizational skills, attention to detail, and the ability to balance multiple priorities in a fast-paced environment. Success comes from being proactive, resourceful, and collaborative, building positive relationships internally and externally while maintaining complex details on track.
Location: On-site in the Dallas, TX area.
Job Responsibilities- Prepare, review, and process new lease agreements, amendments, and renewals.
- Maintain accurate lease records, including critical dates such as rent commencement, renewals, and expirations.
- Draft, manage, and track correspondence with landlords, property managers, and brokers.
- Support the Vice President of Real Estate in negotiations and landlord issue resolution.
- Coordinate internal approvals, signatures, and distribution of lease-related documents.
- Monitor financial aspects of leases, including rent schedules, CAM charges, and reconciliations.
- Prepare reporting and executive summaries related to lease activity, landlord relationships, and portfolio performance.
- Structure and maintain electronic and physical lease files in accordance with company policy.
- Collaborate with Accounts Payable on processing rent, CAM, and other lease-related invoices.
- Ensure compliance with internal policies and applicable real estate regulations.
- Liaise with internal stakeholders, including Legal, Finance, and Operations, to ensure lease matters are effectively managed.
- Perform other duties and special projects as assigned by supervisor.
- 2-3 Years of Real Estate experience.
- Ability to read, interpret, and understand commercial lease contracts and related legal documents.
- Experience handling due diligence in leasing, including reviewing lease terms, obligations, and financial considerations.
- Yardi preferred.
- Microsoft Office Suite.
- Bachelor's Degree preferred.
- Outstanding communication skills, both oral and written, with the ability to collaborate effectively at all organizational levels.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
