Job Summary
The Assistant Commercial Property Manager reports to the Vice President of Commercial and supports the property management activities related to the company’s commercial real estate portfolio. Primary responsibilities include tenant relations and customer service to manage tenant retention and satisfaction; assisting with administration of commercial property maintenance, contracted services, expense management, collections and compliance with applicable local, state and federal regulation governing safety.

Proactively develops and manages working relationships with both internal (e.g., on-site property management and maintenance, corporate) and external (tenants, vendors, local authorities) stakeholders.
Frequently interacts with commercial tenants to address questions, concerns and requests as the primary point of contact for the assigned commercial properties. Obtains guidance from and/or escalates issues to corporate commercial operations management as needed.
Inspects the assigned commercial properties regularly to assess and identity potential issues and/or needs for improvement. Monitors, inspects and assesses property attributes to identify potential safety hazards and ensure quality property aesthetics.
Works with the commercial team to qualify potential vendors to perform services related to the operation, repair and maintenance of commercial project components for an assigned commercial property, either separately or as part of an allocated service for the entire property.
Interprets and enforces commercial leases in consultation with corporate commercial operations management. Assists with the enforcement of policies, procedures and regulations governing the space allocation to tenants.
Collaborates with corporate commercial management to monitor the budget of the assigned commercial properties regularly in accordance with established goals to keep expenses in line with the budget.
Submits purchase orders to vendors and invoices and all other accounting activities to the Account Payable Department for processing.
Assists with the collection of rent and other fees due under the commercial leases; assists with annual reconciliation of operating expenses.
Assists with the preparation of annual commercial budgets, including income, expenses and capital improvements in partnership with the residential maintenance and property management representatives.
Performs other related duties as assigned to meet the needs of the business.
Two to three years of property management experience required
Valid driver’s license from the state of residence required
Bachelor’s degree preferred
Commercial property management experience preferred
Skills and Abilities
Knowledge of property management concepts and practices
Customer service orientation to anticipate needs and issues, respond effectively and efficiently and resolve conflict diplomatically
Relationship management skills
Skill and ability to operate independently and as part of a team
Knowledge and skills to manage projects, organize, prioritize, and meet deadlines
Ability to visual inspects units, grounds, and other aspects of the property to determine adherence to standards
Skill and ability to clearly and concisely communicate verbally and in writing
Critical thinking and problem-solving skills
Computer skills with property management applications (e.g., Yardi)
Computer skills with Microsoft Office applications (Word, Excel, Outlook)
Ability to travel locally 20% of time for property visits and meetings.
Ability to maintain confidentiality and maintain appropriate discretion

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
